Account Administration

Once the sign up process is done, you should receive an email from DataWinners asking you to activate your account. Click on Activate your account link and you can start your trial.

Simply click the “upgrade” button on the dashboard and fill out the requested information.

The “Upgrade” button is no longer present in your Dashboard page and you received the upgrade confirmation email.

To reset password, go to app.datawinners.com.

If you are signed in, click the link to Sign out.

  1. Click on the link Sign in
  2. Click on the link Reset password
  3. Enter your email address, the one you use as a login
  4. Then select Get password
  5. You will receive an email from DataWinners
  6. Please follow the steps in the email.

You need to sign up for an account to log in to a DataWinners account.

You can try DataWinners by signing up a free account, it’s free for one year and you can collect up to 1,000 Submissions, including 50 SMS Submissions.

Once the sign up process is done, you’ll receive an email from DataWinners asking you to activate your account. Click on Activate your account.

Try changing your password on the account.

Go to https://app.datawinners.com/login/ and then click on Reset Password. Then in the email box, enter your email address. You should then receive an email that will let you set a new password.

Your account has not been activated yet. To do so, please click on the activation link contained in the email you received after the sign-up process.

 

With DataWinners, you cannot reuse the same email address and phone number that has already been registered in another account. The system will not accept an email address that has previously been used for activation.

No. DataWinners uses SMS, Smartphone or Tablet and Web as data collection channels. For the SMS channel, a dedicated local number is linked to your account.

Account access may be shared by creating User accounts for people in your organization. It is possible to add an unlimited number of Users to the account. Users will have access to all content in your account.

Only Administrators can register new Users. To do so, you need to do the following:

  1. Go to “Your account” at the top of the page
  2. Then click on the blue tab “Users”
  3. Then “Add a User” on the right hand side
  4. Then fill out your information
  5. The newly registered user will receive a confirmation message via email.

Once a person is registered as a User, he is automatically registered as a Data Sender. This is why you cannot register this person again as a Data Sender. If you check in the Contacts page, you can see that all of your Users are already there.

From the Contacts page, to link existing Data Senders to a Questionnaire, check the Data Sender’s check box and select “Add to Questionnaire” and you can select the Questionnaire(s) to which you want to link the Data Sender(s).

With DataWinners, you can register an unlimited number of users for the same price.

It is possible to subscribe with a single account for the organization and then create an unlimited number of Questionnaires within that single account for all of your various programs (health, education, etc.). Each User will have their own unique login (email address and password), and will have access to all of the organization’s Questionnaires within the account. Therefore, if you’d like to keep the program data completely separate, your organization may be interested in creating multiple accounts.

No. With DataWinners, you can register an unlimited number of users.

Yes. Your User can access specific Questionnaires depending on the roles and permissions you set for him.

Different roles are available in DataWinners:

  • Account Administrator: The creator and manager of the DataWinners account
  • Administrator: Can manage Users (Project Managers) and give/remove access to Questionnaires and polls
  • Project Manager: Can manage the Questionnaires and Polls they created. Can also be granted access to existing Questionnaires and Polls

It is not yet possible to edit User information. As an alternative we suggest you create a new User with the correct email address, and delete the old User.

To do so:

  1. Please click on the Account link next to Profile at the top of the page,
  2. Then click on the blue tab, “Users”
  3. Check the box next to the first name of the user and select “Delete” in the Actions drop down list,
  4. Then click on “Add a user” at the top right hand of the page, fill in all the information and then click on “Register”

Check in the Contacts page to see if the User is registered as a Contact. If that is the case, you will have to delete the Contact from this list to be able to register him as a User.

To do so, please check the check box near the person’s name and select “Delete” in the Actions dropdown list at the top of the page. When the Contact is successfully deleted, you can register him as a User.

Once a person is registered as a User, he’s automatically registered as a Contact.

No. “Read only”  access is not yet available within DataWinners.

With your DataWinners subscription, you can create an unlimited number of Questionnaires and collect an unlimited number of data.

DataWinners has a very good activity log allowing your to monitor all the activities performed within your account.

Customer support is available for all type of accounts, via email and Skype.

Our specific target end users are program managers of development projects who are tired of making resource allocation decisions in the absence of data. So we think of DataWinners as sort of like Survey Monkey for development professionals. Our main targets are organisations and individuals working in developing countries.

DataWinners platform is available in English and in French. Partners can create their questionnaires in any language/script and customize their confirmation/error messages in any language/script (“Thank you, we received your data).

Our model is one subscription per organization per country. However, for each subscription, the Data Admins can give read/write access to as many users as they like. So, the Water/Sanitation team can have their own login/password and so can the Child Protection team. Within one account, you can have an unlimited number of Questionnaires and can share the data with multiple Users. You can set different roles and permissions for each User.

With DataWinners, you can collect data using any combination of 3 channels, depending on the equipments you already have on hand: SMS, Web and Smartphone.

– Smartphone: you can download the DataWinners app on Playstore and use it to download, fill and send out your Questionnaires. Please watch our video to learn more.

– Web: you just need to give access to your Data Senders and they can access the form on-line when logged in.

– SMS: you share the printed Questionnaire with your Data Senders during trainings.

To avoid this error, follow the steps below:

  1. Clear your cache on your Smartphone
  2. If the problem persists, upgrade your Play Store to the latest version and try once again. The current version will be automatically replaced by the new one.

Information DataWinners collects from and about you is stored on DataWinners’ secure server space at Amazon Web Services in the United States.

Your database is password protected and we do not have access to your data.

The price depends on the type of account and the length of your subscription. Please visit our Pricing page for more information.

As per our Terms and Conditions, subscriptions for organizations are per country. For example: Organization X, that wants to use DataWinners in Madagascar and Mozambique must have two subscriptions.

You can have an unlimited number of respondents with DataWinners. The 1,000 outgoing messages count for:

  1. The automatic reply your respondents receive when sending in data,
  2. The automatic reminders you can set for your projects and,
  3. Ad hoc messages you send to field staff.

We’re hosting your number in our system so roaming is required so we could receive and deliver all your SMS into your DataWinners account. In fact, your Data Senders will send data to a local number but as our server isn’t located in your country, we need the roaming to be able to manage all the SMS traffic.

No other features/services with the network provider needs to be enabled. We just need a postpaid SIM, enabled for roaming.

  1. Reduce the number of ad-hoc SMS sent from the system and use it only when necessary (Using the Send a message feature). You can also filter your recipients using Contacts & Groups to send your SMS only to a Group instead of all Data Senders.
  2. Check in your Data page if you have many error Submissions. If yes, work with your Data Senders to help them submit data successfully, to avoid multiple error messages.

Our payments must be done in USD. You can wire the payment from your Iocal bank account to our Bank account in US. To proceed, you can just let the bank know how much in USD you want the beneficiary to receive.

To benefit from the SMS feature, a Pro SMS account is recommended. Monthly Pro SMS subscription is $299/month for an annual plan. It allows you to collect an unlimited number of submissions and includes 1,000 outgoing SMS, related to reply SMS, reminders and bulk SMS.

In your  scenario, 200 recipients sending/receiving 5 messages per day = 1,000 SMS per day X 30 days in a month = 30,000 messages.Assume half of these messages are sent by the recipients (inbound) and half sent by DataWinners (outbound).

Cost would be:

  • $299/month for the subscription
  • 15,000 inbound messages (SMS costs paid by each sender. Assume $0.05/SMS = $750). Also possible to organize a toll-free number so recipients don’t have to pay when sending in their data. Costs vary by country.
  • 15,000 outbound messages (first 1,000 are free, then cost is by bundle of 500 messages for $50. So $1,400)

Total: $299 + $750 + $1,400 = $2,449.

Three types of account are available with DataWinners:

  1. Basic account: it’s free for one year and allows you to collect up to 1,000 Submissions, including 50 SMS Submissions.
  1. Pro SMS account: it allows you to collect data using any combination of SMS, Web and Android device (Smartphone, Tablet). The monthly subscription includes 1,000 outgoing SMS. Any SMS overage is billed $50 per 500 SMS.
  1. Pro account: it allows you to collect data using any combination of Web and Android device (Smartphone, Tablet).

A reduction is applied to monthly subscriptions depending on the length of the subscription: 1 month, 6 months or 12 months.

Smartphone

Yes. It’s possible to register Identification Numbers using Smartphone.Fill out the Identification Number Type registration form using the DataWinners Android app exactly the same process as when you fill out a Questionnaire to submit data. Please follow the steps below:

  1. Download the blank Questionnaire onto your Smartphone by taping on the “Get Blank Questionnaire” menu
  2. Tap on “Fill Blank Questionnaire”. All Identification Numbers Type available will be listed as Questionnaires
  3. Fill out the selected Questionnaire by entering all the basic information about your Identification Number
  4. Once the Questionnaire is filled-out and saved, you can send it as a finalized Questionnaire.

Normally, when you go to Play Store, Datawinners is already available for installation and does not require any additional server url. Please retry and contact us if you still encounter an issue.

Make sure you are logged in to the Google Play Store with the account connected to your device.

Visit the DataWinners app page on the Google Play Store.

You should land on a page where you can see a text saying that the app is compatible with your smartphone if this is the case.

No. The Smartphone application is currently only compatible with Android smartphones and tablets.
Non-Android devices can use the Web versions of DataWinners Questionnaires while connected to the Internet.

No. DataWinners smartphone app can be used on Android only.
Non-Android devices can use the Web versions of DataWinners Questionnaires while connected to the Internet.

Please go to Settings – About Phone – You’ll see the Android version on the list

Our App will work with any Android tablet or Smartphone.

Given 1) how quickly new devices come out; 2) the different data collection needs of each country; and 3) the difference in each local market we usually just give generic advice such as:

  • Source locally (so you can get a warranty)
  • Check with the telephone companies; they may have subsidized deals as they do in the US
  • Decide if you need 3G capabilities or whether you can get by using Wi-Fi alone.
  • Make sure the device has a GPS
  • Try to download the DataWinners app on the phone before you buy it (if possible).

You can store the apk file in My Files and then follow the steps below:

  1. In your phone Settings, tap on Dans les Paramètres de votre téléphone, appuyez sur “Security”
  2. Select “Unknown sources – Allow install of non-Play Store applications”
  3. Go back to the folder where you stored your apk file and tap on it to install the application.
  4. Once the installation is completed, the DW logo should appear on your phone.

Before installing DataWinners on your tablet, make sure that you have already a Gmail account. Gmail is required to access the PlayStore from which you can download DataWinners.

You need connection only when downloading the Questionnaires on your Smartphone or Tablet and when uploading your filled Questionnaires. You can choose between a Wifi and a data plan depending on the available services.

Your Data Senders can fill the downloaded Questionnaires even offline. So they don’t need to be constantly connected.

You have to provide email address for each of your Data Senders because DataWinners will use these email addresses to send an activation email to each of them so they can activate their account.

No. Once you register this information in the DataWinners app settings, you don’t have to enter them each time you want to make a Submission.

  1. Select the DataWinners app on your smartphone or tablet
  2. On the main menu, click on the menu button on your phone
  3. Click on the menu named “change settings”
  4. Your username and password will be displayed on the phone.

No. The size of your questionnaire is not limited. You can have as many questions as you want in a Questionnaire, when you use Smartphone and Web channels, and as many Questionnaires as you want.

Yes. If you deleted the questionnaire, you can download it again by clicking on “Get Blank Questionnaire” on the home screen. Select the questionnaire and just download it again.

First, please check if the login and password you entered in the Settings page are correct.

If they are correct then please try to uninstall the DataWinners application from your Smartphone and reinstall it.

You may have a connectivity issue. Your device may not have sufficient memory left because many applications are running at the same time. Check if your connection and your device memory.

Yes. Collecting picture data is possible using the DataWinners Android application. To do so, create an advanced Questionnaire using XLSForm and use “image” as a question type in the “type” column.

No. The completed questionnaires are stored on the phone until they are manually deleted. So the normal process is:

  1. Questionnaire filled out (even offline)
  2. Questionnaire manually uploaded once network connectivity is achieved
  3. Questionnaire manually deleted from phone by the Data Sender

DataWinners Android App allows you to work offline. You can fill out your questionnaires, save them onto your device even offline. When you have a connection, you can send out the data.

You need connection only when downloading the Questionnaires on your device and when sending your filled Questionnaires. Please watch our video to learn more.

The number of filled questionnaires that can be stored offline is not limited. It depends on the storage capacity of your phone. If you have 1GB for example, that could already store a lot of questionnaires because the size of each filled questionnaire will be in KB.

You can fill out Questionnaire even offline. You just need to tap on Save Questionnaire and Exit when you’re done. The filled out Questionnaires will be stored in your Smartphone till you send them.

Yes. You can fill out as many Questionnaires as you want in offline mode. The important thing is that you have the Questionnaires already downloaded onto your phone.

Yes. You can fill out a Questionnaire using the Web form. To do so, you need to be granted access to the Questionnaires. Please contact your Account administrator for more information.

No, we don’t handle multipage forms with DataWinners.

Web forms are displayed in a single page. But with the DataWinners application for Android, questions are displayed in different pages, one by one.

 

The Data Sender tries to edit a filled Questionnaire with an older version of your Questionnaire.

Please ask the Data Sender to download the new version of the Questionnaire.

 

Please select Edit Saved Questionnaire and then select the Questionnaire you would like to review. All the answers you provided will be displayed under each question.

No. It is not possible to have data visualization on Smartphone, you can view your data only in the Web portal.

No. You cannot change the settings to display more than one question at a time.

  1. Activate GPS in your Smartphone
  2. Go to “Settings”
  3. Choose “Location services”
  4. Check the option: “Let apps use data from sources such as Wi-Fi and mobile networks to determine your approximate location”
  5. Tap on “Accept”
  6. Go back to your Questionnaire and tap “Record location” once the location is displayed

One possibility is that the Save button was not pressed after the device detected the location. It is necessary to press Save before shifting to the next question or submitting your questionnaire. You should not press on the Record location button again. After the app has detected your location, please swipe on the screen as if you want to shift to the next question, and then the Save button will appear.

Another possibility is you didn’t activate the GPS option in your phone. To do so, please follow the steps below:

  1. Press on Settings,
  2. Then on Location and Security,
  3. Check the box next to Use GPS Satellites.

With DW 3.0 and up, users can hide some of the main menu elements (Get Questionnaires, Send Finalized Questionnaires, etc.). You can do so in the Admin settings.

Do the following:

  1. Inside the DW application, press the “Menu” button
  2. Then tap “Admin settings”
  3. Ensure that all the main menu items are checked
  4. Go back to the main menu. The “Send Finalized Questionnaire” menu should be available.

This can happen for the following reasons:

  • The Smartphone memory is full and the application is taking time to start
  • Connectivity issue or insufficient data plan
  • The server setting of the DataWinners application is incorrect. The URL should be the following: https://app.datawinners.com/xforms
  • The URL must begin with “https” not just “http”

To delete the error messages logged in the Smartphone application, follow the steps below:

  1. Open Settings
  2. Select DataWinners
  3. Tap on “Clear Data”
  4. Tap on “Clear Cache”

This may be due to a memory problem or synchronization error with your Google account.

Try the following:

  1. Go to Settings > Applications > All
  2. Select the “Google Play Store”, clear the cache and data.
  3. Restart your Phone.
  4. Make sure there is sufficient space on the phone’s memory and on your SD card.

If the above solution doesn’t work, try the following:

  1. Go to “Settings” > “Accounts” > “Google” and delete the current account.
  2. Turn off your phone.
  3. Restart your phone in Recovery mode (Press the Home + Volume Up + Power).
  4. A menu will appear, you can navigate using the volume keys.
  5. Select “Wipe Cache Partition”
  6. “Clear Cache”.

You are not connected to an Internet connection network.

The Internet connection timed out during the Questionnaire download. Check your connection and retry.

Check if the micro SD card is correctly inserted in the Smartphone.

Check if you filled out and submit the latest version of your Questionnaire. If you edited your Questionnaire, you’ll need to download the latest version onto your Smartphone.

Check if your login information is correct.

If this happens when downloading blank Questionnaire, check if the connection works.

This is a connection issue. Please check if your device is connected and try again.

Uninstall the DataWinners application from the Android device and then reinstall it.
Try again to download the questionnaire after this process.

You get this error because no Identification Number has been registered yet.

If you get this message on your Smartphone when you want to fill out your Questionnaire, this means that you have encountered errors previously and these errors appear again when you want to fill out Questionnaires. To avoid these displayed errors, you should clean up the data registered on your Smartphone. To do so, please follow the steps below:

Step 1: Click on the “Menu” button on your Smartphone through the main screen
Step 2: Click on “My files” icon
Step 3: Choose “odk”
Step 4: We have 3 files “forms”, “instances” and “metadata” and choose “forms” first
Step 5: Delete all contents of “forms” “instances” and “metadata”
Step 6: Through the menu with your Smartphone, click on “Settings”
Step 7: Choose “Applications” and “Manage Applications”
Step 8: Then choose “DataWinners”
Step 9: Finally, click on “clear data”

Filled-out Questionnaires are not submitted automatically, They are stored in your device until you send them.

In order to submit your Filled-out Questionnaires:

  1. Tap on “Send Finalized Questionnaires”
  2. Select the Questionnaires you want to submit

Account

If you do not want yo use DataWinners with Amazon Web Services, you can download and install DataWinners onto your our own server.

DataWinners is an open source project. All the source codes can be found by clicking on the following link https://github.com/mangroveorg/mangrove. And the link for the android app is as follow https://github.com/mangroveorg/datawinners-smartphone.

No support is offered in that case.

Within a DataWinners account, you can have an unlimited number of projects and collect an unlimited number of data.

To benefit from the SMS feature, a Pro SMS account is recommended. Monthly Pro SMS subscription is $299/month for an annual plan. It allows you to collect an unlimited number of submissions and includes 1,000 outgoing SMS, related to reply SMS, reminders and bulk SMS.

In your  scenario, 200 recipients sending/receiving 5 messages per day = 1,000 SMS per day X 30 days in a month = 30,000 messages.Assume half of these messages are sent by the recipients (inbound) and half sent by DataWinners (outbound).

Cost would be:

  • $299/month for the subscription
  • 15,000 inbound messages (SMS costs paid by each sender. Assume $0.05/SMS = $750). Also possible to organize a toll-free number so recipients don’t have to pay when sending in their data. Costs vary by country.

No support is offered in that case.

No. DataWinners uses SMS, Smartphone or Tablet and Web as data collection channels. For the SMS channel, a dedicated local number is linked to your account.

Account access may be shared by creating User accounts for people in your organization. It is possible to add an unlimited number of Users to the account. Users will have access to all content in your account.

Only Administrators can register new Users. To do so, you need to do the following:

  1. Go to “Your account” at the top of the page
  2. Then click on the blue tab “Users”
  3. Then “Add a User” on the right hand side
  4. Then fill out your information
  5. The newly registered user will receive a confirmation message via email.

Once a person is registered as a User, he is automatically registered as a Data Sender. This is why you cannot register this person again as a Data Sender. If you check in the Contacts page, you can see that all of your Users are already there.

From the Contacts page, to link existing Data Senders to a Questionnaire, check the Data Sender’s check box and select “Add to Questionnaire” and you can select the Questionnaire(s) to which you want to link the Data Sender(s).

With DataWinners, you can register an unlimited number of users for the same price.

It is possible to subscribe with a single account for the organization and then create an unlimited number of Questionnaires within that single account for all of your various programs (health, education, etc.). Each User will have their own unique login (email address and password), and will have access to all of the organization’s Questionnaires within the account. Therefore, if you’d like to keep the program data completely separate, your organization may be interested in creating multiple accounts.

Yes. Your User can access specific Questionnaires depending on the roles and permissions you set for him.

Different roles are available in DataWinners:

  • Account Administrator: The creator and manager of the DataWinners account
  • Administrator: Can manage Users (Project Managers) and give/remove access to Questionnaires and polls
  • Project Manager: Can manage the Questionnaires and Polls they created. Can also be granted access to existing Questionnaires and Polls

It is not yet possible to edit User information. As an alternative we suggest you create a new User with the correct email address, and delete the old User.

To do so:

  1. Please click on the Account link next to Profile at the top of the page,
  2. Then click on the blue tab, “Users”
  3. Check the box next to the first name of the user and select “Delete” in the Actions drop down list,
  4. Then click on “Add a user” at the top right hand of the page, fill in all the information and then click on “Register”

Check in the Contacts page to see if the User is registered as a Contact. If that is the case, you will have to delete the Contact from this list to be able to register him as a User.

To do so, please check the check box near the person’s name and select “Delete” in the Actions dropdown list at the top of the page. When the Contact is successfully deleted, you can register him as a User.

Once a person is registered as a User, he’s automatically registered as a Contact.

No. “Read only”  access is not yet available within DataWinners.

With your DataWinners subscription, you can create an unlimited number of Questionnaires and collect an unlimited number of data.

DataWinners has a very good activity log allowing your to monitor all the activities performed within your account.

Customer support is available for all type of accounts, via email and Skype.

Our specific target end users are program managers of development projects who are tired of making resource allocation decisions in the absence of data. So we think of DataWinners as sort of like Survey Monkey for development professionals. Our main targets are organisations and individuals working in developing countries.

DataWinners platform is available in English and in French. Partners can create their questionnaires in any language/script and customize their confirmation/error messages in any language/script (“Thank you, we received your data).

Our model is one subscription per organization per country. However, for each subscription, the Data Admins can give read/write access to as many users as they like. So, the Water/Sanitation team can have their own login/password and so can the Child Protection team. Within one account, you can have an unlimited number of Questionnaires and can share the data with multiple Users. You can set different roles and permissions for each User.

With DataWinners, you can collect data using any combination of 3 channels, depending on the equipments you already have on hand: SMS, Web and Smartphone.

– Smartphone: you can download the DataWinners app on Playstore and use it to download, fill and send out your Questionnaires. Please watch our video to learn more.

– Web: you just need to give access to your Data Senders and they can access the form on-line when logged in.

– SMS: you share the printed Questionnaire with your Data Senders during trainings.

To avoid this error, follow the steps below:

  1. Clear your cache on your Smartphone
  2. If the problem persists, upgrade your Play Store to the latest version and try once again. The current version will be automatically replaced by the new one.

Information DataWinners collects from and about you is stored on DataWinners’ secure server space at Amazon Web Services in the United States.

Your database is password protected and we do not have access to your data.

As per our Terms and Conditions, subscriptions for organizations are per country. For example: Organization X, that wants to use DataWinners in Madagascar and Mozambique must have two subscriptions.

You can have an unlimited number of respondents with DataWinners. The 1,000 outgoing messages count for:

  1. The automatic reply your respondents receive when sending in data,
  2. The automatic reminders you can set for your projects and,
  3. Ad hoc messages you send to field staff.

We’re hosting your number in our system so roaming is required so we could receive and deliver all your SMS into your DataWinners account. In fact, your Data Senders will send data to a local number but as our server isn’t located in your country, we need the roaming to be able to manage all the SMS traffic.

No other features/services with the network provider needs to be enabled. We just need a postpaid SIM, enabled for roaming.

  1. Reduce the number of ad-hoc SMS sent from the system and use it only when necessary (Using the Send a message feature). You can also filter your recipients using Contacts & Groups to send your SMS only to a Group instead of all Data Senders.
  2. Check in your Data page if you have many error Submissions. If yes, work with your Data Senders to help them submit data successfully, to avoid multiple error messages.

Our payments must be done in USD. You can wire the payment from your Iocal bank account to our Bank account in US. To proceed, you can just let the bank know how much in USD you want the beneficiary to receive.

Your data is stored on secure servers at Amazon Web Services in the United States of America.

With DataWinners, you have an unlimited amount of space to store your data.

Your data is stored in DataWinners server throughout your DataWinners subscription. But you can export your data at anytime and store it where you choose.

You can sort your data by data sender or by submission date. You also have the search option allowing you to display only the data you want.
You can do all these analysis in the Analysis page and the Submission Log page.

With DataWinners, you can view your collected data in table formats, pie and bar charts. Data can be filtered by submission date, by data sender, by case and you can even make a search for keyword.

Yes. DataWinners’ Analysis pages can perform simple analysis of collected data, including mapping, charting and graphing functions.

No. It is not yet possible to view your data on the Smartphone application. You can view your record only from the Web application.

Data Senders must be registered as Users to be able to access the data page. To do so, delete them from the Data Senders list and register them as a User. Then you can link them to the specific Questionnaires you want them to send in data.

Each week for example, the Project Manager can export the basic information, print it out and share with the Data Senders.

Data can be exported to Excel in one click.

DataWinners has also an API functionality allowing users to push the data collected with DataWinners to a third party application, automatically.

 

Yes. If your Android phone connects over a GPRS network, then our App can download newly created forms and send back filled out questionnaires.

  3. Click on File > Open > Data > Choose Excel in the file dropdown list
  4. Select the Excel file containing your data > Paste

No. Data can be exported to Excel only.

No. To ensure the security of your data, this is not feasible. You will have to register your users in your application one by one.

If you have a very long Questionnaire of more than 250 questions, note that the maximum number of Submissions which can exported at a time is 10,000 Submissions.

Please try downloading the file again. The Excel file may be corrupted if the Internet connection is not very good when downloading your data.

Yes. When you export your data to Excel, the latitute and longitude fields are displayed in separate columns. This should facilitate the exportation into Arc GIS

If you cannot find your data in the Analysis page, please go to the Submission Log page. Successful and error Submissions are displayed in this page.

With DataWinners, you can export your data to Excel and from Excel, export it to SAS, SPSS, etc. Another way is to use our APIs.

All the choices are displayed in a single column, separated by a comma (“,”).

As a workaround, you can split the data in different columns using Excel: Select the cells, go to Data –> Text to columns –> Choose “Delimited” in the pop-up window, then choose a delimiter (a semi-colon or a comma) and your data will be parsed into separate columns.

The best way to test the data extraction webservices is to use curl command.

If you have curl installed, please use the following line in your command terminal:

curl –digest –u ‘yourdatawinnersloginemail:yourdatawinnersloginpassword’ https://app.datawinners.com/api/get_for_form/002/

Otherwise you can try putting the URL https://app.datawinners.com/api/get_for_form/002/ in a browser address. You need to provide username and password when prompted.

Your server could invoke the webservice by sending a request directly with the URL and providing the user credentials for digest authentication. Most programming platforms support sending digest-auth requests.

And your server should be able to get the response with data in its content.

The whole process is entirely automatic.

Data extraction within a specific time period:

DataWinners data extraction webservice API supports downloading data within a certain period. To do so, please include the start date and end date in.

If your account is linked to a toll free number, any data sender will be able to send SMS free of cost.
If you use a Post Paid SIM, your Data Senders will be paying the local SMS cost. This applies to unregistered Data Senders as well.

DataWinners can export up to 4094 at a time.
To avoid problem, you can filter your data — by date for example — and export it in multiple batches.

You can use third-party software or you use your own software if preferred using feed API access.

DataWinners has an integrated feed API that helps the users to perform Extract, Transform and Load (ETL) operations on the data collected. DataWinners has also added an API for sending out SMS via the application. The feed access is secured using a HTTP Basic authentication. The user has to provide the username and password to access any of the Submissions in the account.

DataWinners streams the feed data. There is no maximum limit on the number of feed entries sent out of DataWinners. DataWinners will continue to stream data as long as there is valid data for the given query parameters, and will close the connection once the feed entry for the last Submission has been sent.

Yes. To edit a data record, click on the “Submission Log” page for the Questionnaire, select the data record you wish to edit by clicking on the corresponding box in the left-most column, and select “Edit” from the Actions drop down menu. Make all the necessary changes and click “Save changes.”

To delete a data record, click on the “Submission Log” page for the Questionnaire, select the data record you wish to delete by clicking on the corresponding box in the left-most column, then select “Delete” from the Actions drop down menu.

Yes. From the Submission Log page, follow these steps:

  1. Click on the Errors Tab,
  2. Select the Submissions you want to delete,
  3. Select “Delete” from the Actions dropdown menu.

Yes. Deleted entries are still present in the Deleted Submissions page. You cannot have them back in your Submissions log but you can re-enter them:

  • Re-make the submission using the Web form. You can even select the Data Sender name.
  • If you have a very big Questionnaire, it would take time to enter manually. In that case, you can export the Deleted submission(s) to Excel and re-import using the “Import Submissions” function.

A Duplicate is a submission containing the same data as another submission within a predefined period. It can be:

  • Submissions with the exact same answers for each question
  • Submissions with the exact same Identification Number
  • Submissions made by the same Data Sender

Only successful Submissions are analyzed for duplicates.

  1. Choose the period using “Submission Date” filter
  2. Choose what case of duplicate Submissions you are looking for – use the drop down “Show Duplicates For”:

This not yet possible but you can use the below workarounds:

  1. You can merge data from the Questionnaires in Excel using the unique IDs as an identifier. (example: teacher’s unique ID)
  2. If you plan to use Smartphone to collect data, you can create your questionnaires with XLSForm and merge all your Questionnaires in one Questionnaire. You can use teachers ID as an identifier, then have multiple groups for your different questionnaires. The Data Senders can skip the sections they do not have to fill out.

On any map, the pins represent either the registered Data Senders or the registered Identification Numbers. You can choose to display only Data Senders or only Identification Numbers

DataWinners has a very good API allowing you to link it to any external application. Data can be even pushed to external databases such as DHIS2. To learn more, please read our API Documentation.

No. As DataWinners use a flat database, this not yet possible. But below a few workarounds to help you with your data analysis:

Identification Numbers

An Identification Number is what your questionnaire is about; a specific person, place, thing or event on which Data Senders report.

In many cases, the Data Sender interacts with an Identification Number, then sends in an individual report about the interaction:

  • A doctor examines a baby. In this case, the Identification Number is the baby.
  • A supervisor measures the quality of care at a clinic. The Identification Number is the clinic
  • An engineer measures the flow rate of a water pump. The Identification Number is the water pump.
  • A sales person sells products to a retailer: The Identification Number is the retailer.

An Identification Number Type is a general label. For example, you create the Identification Number Type “Clinic.” You could then register the following individual Identification Numbers:

  • North Clinic
  • South Clinic
  • East Clinic
  • West Clinic

The first step is to create an Identification Number registration form for your Identification Numbers. Come up with a list of simple background questions you’d like to collect for each of your Identification Number types as part of the Identification Number profile. DataWinners provides a first draft of the Identification Number questionnaire. You can edit this to include any questions that would be useful for your Questionnaire.Once your Identification Number Registration Form is ready, you have three options to register your Identification Number profiles:

  1. One-by-one using the web form
  2. In bulk using “Import a list”
  3. In the field using SMS

You can link an Identification Number to a Questionnaire by choosing “Identification Number” as an answer type and then adding a new Identification Number Type or selecting an existing one.

Yes. It’s possible to register Identification Numbers using Smartphone.Fill out the Identification Number Type registration form using the DataWinners Android app exactly the same process as when you fill out a Questionnaire to submit data. Please follow the steps below:

  1. Download the blank Questionnaire onto your Smartphone by taping on the “Get Blank Questionnaire” menu
  2. Tap on “Fill Blank Questionnaire”. All Identification Numbers Type available will be listed as Questionnaires
  3. Fill out the selected Questionnaire by entering all the basic information about your Identification Number
  4. Once the Questionnaire is filled-out and saved, you can send it as a finalized Questionnaire.

Registering an Identification Number using SMS works exactly the same way as making an SMS Submission. But instead of submitting for a main Questionnaire, you use the Identification Number registration form. You can share this form with your Data Senders beforehand so they could register new Identification Numbers from the field, using SMS.

To find the SMS registration form, please follow the steps below:

  1.     Click on the blue tab “My (your ID number)”
  2.    Click on “(ID number) registration form”

Start with the Questionnaire code, then a space, then the answer to question 1, etc. Upon receipt of the Submission, DataWinners sends an automatic reply to your Data Sender with the ID asssigned to the ID number, allowing him to submit data related to this ID number.

No. If you want to make changes or add columns, please edit the Identification Number registration form instead of the Excel template, as this will generate an error. Once you’ve made all the changes, please download the template one more time.

During Questionnaire creation, select “Identification Number” from the answer type dropdown list. Then select an existing Identification Number type or add a new one.

No. Identification Number’s ID is not editable.

If you want to change it, please delete the Identification Number and register once again using the new ID.

Yes. You can delete an Identification Number type. Please follow the steps below:

  1. Click on the “Identification Numbers” button at the top of the page,
  2. Select the Identification Number type,
  3. Select “Delete” in the “Actions” dropdown list,

Please note that you cannot delete an Identification Number type if one Questionnaire is still linked to it. If this is the case, please remove the Identification Number type from Questionnaire or delete the Questionnaire first.

  1. When logged in, please click on the All Identification Numbers link in the upper hand side.
  2. From the All Identification Numbers page, click on the Identification Number type. All the Identification Numbers in this type will be displayed.
  3. If you want to delete only a few ones, you can select them by selecting the check box next to the Identification Number’s name and then select delete from the Actions dropdown list. If you want to delete them all, please check the check box in the first column (in the grey area). All the Identification Numbers will be selected. And then select “delete” from the Actions dropdown list.
  4. A confirmation message saying Identification Number(s) successfully deleted will be displayed.

When importing a list of Identification Numbers, the first step is to download the Excel template from DataWinners. This template has been generated to match the Identification Number type in question. All columns are mandatory when filling out the Excel file, apart from the Unique ID cell.Leave the Unique ID cell blank if you would like DataWinners to generate an Identification Number ID for you.

If the template contains a question related to GPS coordinates and you do not have this information when filling out the Excel file, you may enter 0.0,0.0 as a placeholder in the corresponding cell (with no spaces between the numbers).

When entering multiple-choice questions in the Excel file, it is necessary to enter the letter of the choice option instead of the value it represents. For example: with “a) Green” and “b) Yellow”, you would enter “a” for green and “b” for yellow.

If the unique IDs are already used you have to attribute new IDs to be able to import them. Please note that an ID can be used only one time. If you delete an Identification Number, his ID cannot be reused.

When an Identification Number is deleted, you can no longer use it or its unique ID.

When editing the Identification Number Registration Form, the second default question (Identification Number’s last name) should be kept for name and should not be reworded, as the value in this cell is the one displayed in the dropdown list along with the UID.

You cannot register using the deleted UID because some current data is data linked to them.

In order to register them using the old UID, proceed as follows:

  1. Unlinked the Identification Number Type from your Questionnaires by editing your Questionnaire,
  2. Delete the Identification Number Type from your Identification Numbers page,
  3. Recreate the Identification Number Type and customize the registration form,
  4. Import your ID Numbers using the old UID.

The Identification Number for whom you are trying to submit data is not registered in DataWinners yet. Identification Number must be registered before a data related to it can be submitted.

No. This is not yet available in DataWinners.

If we take the example of a health zone, which has many clinics, instead of having all the clinics from different zones displayed in the Identification Number dropdown list, you can create a Questionnaire per health zone.

This way, only the clinics related to this zone will be displayed in the dropdown list.

A Data Sender is a person who sends in data. With DataWinners you can authorize people to send in data by first registering them as Data Senders. Then DataWinners will recognize the Data Senders by their telephone numbers or email addresses.

With DataWinners, you can create an unlimited number of Questionnaires quickly and easily. Every Questionnaire has a unique code. Data Senders start their SMS message with this code in order for DataWinners to identify which Questionnaire the Data Sender is answering. This code can be a combination of numbers and letters.

DataWinners can also send SMS directly to communicate with the people in the field. Please note that this requires a local telephone linked to your account.

With DataWinners, you have two types of user: Users and Data Senders.

  • Data Senders : People who are submitting data for your Questionnaires. They can submit data, register a new Identification Number, and import a list of Submissions.
  • Users: They can do the same thing as the Data Manager apart from adding a new User (Create/Edit Questionnaire, Submit Data, View Data, Register an Identification Number, Register Data Sender, etc.). Once a person is registered as a User, he is automatically registered as a Data Sender.

Yes. You can build your questionnaire in any language. Questions may be entered in any language or script (for example, Thai or Khmer). It is up to you to determine what language best apply to your Questionnaire and Data Senders.

  2. Click on “Add a Group”, name your Group and click on “Add”

The first step is to create an Identification Number registration form for your Identification Numbers. Come up with a list of simple background questions you’d like to collect for each of your Identification Number types as part of the Identification Number profile. DataWinners provides a first draft of the Identification Number questionnaire. You can edit this to include any questions that would be useful for your Questionnaire.Once your Identification Number Registration Form is ready, you have three options to register your Identification Number profiles:

  1. One-by-one using the web form

  3. In the field using SMS

You can sort your data by data sender or by submission date. You also have the search option allowing you to display only the data you want.
You can do all these analysis in the Analysis page and the Submission Log page.

DataWinners uses a flat database.

To submit data on a basic phone, you type your SMS following the example shown on the SMS preview of your Questionnaire. You can access it in the Questionnaire builder page, click on the SMS preview in the upper hand side.

Please start with the Questionnaire code, then type your SMS as follows: answer to Question 1 [space], answer to Question 2 [space] answer to Question 3, etc.

Yes. DataWinners application for Android is build on ODK platform and we can handle 100-200 questions Questionnaires without any problem.

With DataWinners, it is possible to send automatic reminders to your Data Senders to remind them to send in data. DataWinners can then send up to three reminders during each reporting period. You can specify when you want these reminders to be sent by checking the corresponding check box. Reminder message text can be edited as needed.

Please note that this requires a local telephone linked to your account.

This functionality is only available for Pro SMS accounts.

You can link an Identification Number to a Questionnaire by choosing “Identification Number” as an answer type and then adding a new Identification Number Type or selecting an existing one.

Yes. Registration is required if you’re collecting data only from registered Data Senders. During registration you will be asked to include the telephone number that the Data Sender will use to send SMS. When registered Data Senders SMS in data, DataWinners will recognize the registered telephone number and accept the data. Any SMS from a non-registered number will be rejected and the Data Sender will receive an automatic error message.

For Web and Smartphone/Tablet channel, DataWinners will check the authorization by the email address of the Data Sender.

With DataWinners, you can view your collected data in table formats, pie and bar charts. Data can be filtered by submission date, by data sender, by case and you can even make a search for keyword.

DataWinners uses a flat database. But, if you want to analyze your data via a relational database, you have two options:

  • The data you collect via DataWinners can be exported/extracted and sent to another application via our Submission feed. If you already have an application for data analysis, you can send the data collected through DataWinners to this application using our API. It’s free but it requires some programming on your side. This is done only one time and thereafter the data is exported there automatically, depending on your needs
  • We can develop a customized application for you. This is not included in the DataWinners subscription. Please let us know if you’re interested and we can prepare a quotation for you.

Any SMS-enabled phone can send data.

Yes. Questionnaires are editable.

To do so:

  1. Select your Questionnaire on the Dashboard page or on the Questionnaires page
  2. Then click on the “Questionnaire” tab
  3. Make the changes you want and click on “Save”

Organizations can use DataWinners to send automatically up to three reminders to field staff who have not already submitted data for the current deadline.

To do so, please:

  1. Click on the blue tab named Reminder,
  2. Set your deadline,
  3. Set the number of days before and after the deadline on which you want to send reminders and,
  4. Edit your text message for x day before, the day of the deadline, and x days after the deadline reminders.

You need to sign up for an account to log in to a DataWinners account.

You can try DataWinners by signing up a free account, it’s free for one year and you can collect up to 1,000 Submissions, including 50 SMS Submissions.

Once the sign up process is done, you’ll receive an email from DataWinners asking you to activate your account. Click on Activate your account.

Each of your Data Senders must have their own login and password to use the Android application.

To do so, follow the steps below:

  1. Register your Data Senders by registering an email address for each,
  2. Ask them to activate their account by clicking on the activation link in the email sent by DataWinners (they can create their own password)
  3. Set each device using this information (login and password).

Yes. DataWinners’ Analysis pages can perform simple analysis of collected data, including mapping, charting and graphing functions.

Yes. For Basic accounts, we provide an International number +447860034166. We do this because our service is available worldwide, and we simply cannot supply a local number for each country. However, for Pro SMS accounts, we link a local number to our client’s account, in an effort to keep communications costs as low as possible.

No. It’s not possible with a simple Questionnaire; all questions are mandatory.

If you want to make a question optional, use XLSForm to create your Questionnaire and do not put “yes” in the required column.

Open the sent reminders page to confirm that your reminders have been sent. You can also refer to the dashboard page to learn how many reminders have been sent during the month as only delivered reminders are displayed.

Try changing your password on the account.

Go to https://app.datawinners.com/login/ and then click on Reset Password. Then in the email box, enter your email address. You should then receive an email that will let you set a new password.

Yes. It’s possible to register Identification Numbers using Smartphone.Fill out the Identification Number Type registration form using the DataWinners Android app exactly the same process as when you fill out a Questionnaire to submit data. Please follow the steps below:

  1. Download the blank Questionnaire onto your Smartphone by taping on the “Get Blank Questionnaire” menu
  2. Tap on “Fill Blank Questionnaire”. All Identification Numbers Type available will be listed as Questionnaires
  3. Fill out the selected Questionnaire by entering all the basic information about your Identification Number
  4. Once the Questionnaire is filled-out and saved, you can send it as a finalized Questionnaire.

Registering an Identification Number using SMS works exactly the same way as making an SMS Submission. But instead of submitting for a main Questionnaire, you use the Identification Number registration form. You can share this form with your Data Senders beforehand so they could register new Identification Numbers from the field, using SMS.

To find the SMS registration form, please follow the steps below:

  1.     Click on the blue tab “My (your ID number)”
  2.    Click on “(ID number) registration form”

Start with the Questionnaire code, then a space, then the answer to question 1, etc. Upon receipt of the Submission, DataWinners sends an automatic reply to your Data Sender with the ID asssigned to the ID number, allowing him to submit data related to this ID number.

You can include a GPS question in your Questionnaire.

Using our Android application, you can capture the coordinates of the place where your Data Sender is located while filling out the Questionnaire.

No. It is not yet possible to view your data on the Smartphone application. You can view your record only from the Web application.

No. We don’t have a separate version for the private sector. Organizations in the private sector are using this same version of DataWinners.

When setting up reminders, set the deadline and choose when you want the reminders to be sent. DataWinners can then send up to three reminders during each reporting period.

If you check the checkbox at the bottom of the page saying: Only send reminders to senders who have not already submitted data for the current deadline, reminders will be sent to these people only.

  4. Enter your Contacts information in the template and save

Data Senders must be registered as Users to be able to access the data page. To do so, delete them from the Data Senders list and register them as a User. Then you can link them to the specific Questionnaires you want them to send in data.

Each week for example, the Project Manager can export the basic information, print it out and share with the Data Senders.

Yes. With Advanced Questionnaires (XLSForm), you can include skip logic and many other advanced features such as repeated set of Questions, required and hints, cascading select, grouping, and more.

You can only set one due date in a DataWinners Questionnaire so this is not possible.

  1. You can create a Questionnaire for each deadline just for reminders and sending SMS to a group. For example, one Questionnaire for weekly deadline, another one for monthly deadline, another one for semi-annual and a fourth one for annual deadline. Let’s call these “group Questionnaires”, with just a dummy question in each Questionnaire. Your Data Senders will be submitting data to the first real Questionnaire. This way you will be able to have all your data in one Questionnaire.
  2. Link all the Data Senders related to each group to the appropriate Questionnaire (Example: link all the Data Senders for whom deadline is weekly to the weekly Questionnaire, etc.).
  3. Set reminders in the weekly and monthly group Questionnaire. When you set the reminders, check only the “x days before the deadline” and “the day of the deadline” to avoid people from receiving reminders even if they’ve already submitted their data.
  4. For quarterly and semi-annual deadlines, as DW don’t have these options in the deadline dropdown list, you can send the reminders manually via “Send a message”. You can just choose “Data Senders linked to this Questionnaire” and the message will be sent only to the specific group.

With DataWinners, you cannot reuse the same email address and phone number that has already been registered in another account. The system will not accept an email address that has previously been used for activation.

During Questionnaire creation, select “Identification Number” from the answer type dropdown list. Then select an existing Identification Number type or add a new one.

To give a Data Sender access to DataWinners via Web and Smartphone:

  1. Check the checkbox corresponding to the Data Sender,
  2. Select “Give access to Web and Smartphone” in the Actions dropdown list,
  3. Enter the email address of the Data Sender.
  4. Click on “Give access”

If it is not a possibility to use DataWinners’ usual platform because of HIPAA regulations — then another option could be to download DataWinners onto your server there.

No. Identification Number’s ID is not editable.

If you want to change it, please delete the Identification Number and register once again using the new ID.

No. As the creator of the questionnaires, you specify which of your Data Senders has permission to submit data for each questionnaire created.

Click on the Contacts button at the top right hand corner. You will see a list of all Registered Contacts. On the left hand side, you will see little check boxes next to each name. Account access may be shared by creating User accounts for people in your organization. It is possible to add an unlimited number of Users to the account. Users will have access to all content in your account.

Yes. You can delete an Identification Number type. Please follow the steps below:

  1. Click on the “Identification Numbers” button at the top of the page,
  2. Select the Identification Number type,
  3. Select “Delete” in the “Actions” dropdown list,

Please note that you cannot delete an Identification Number type if one Questionnaire is still linked to it. If this is the case, please remove the Identification Number type from Questionnaire or delete the Questionnaire first.

No. Once registered, a Data Sender is able to send in data for all current and future Questionnaires. You have to register a Data Sender only one time and just link him to a specific Questionnaire when needed. To do so please:

  1. Click on the “Contacts” button,
  2. Check the box next to the Contacts or data senders you want to link to your Questionnaire,
  3. Then choose Add to Questionnaire in the Actions dropdown list at the top of the page,
  4. Then select your Questionnaire(s) in the list of Questionnaires, and click on Confirm at the bottom of the page.

No. Data can be exported to Excel only.

No. To ensure the security of your data, this is not feasible. You will have to register your users in your application one by one.

Normally, when you go to Play Store, Datawinners is already available for installation and does not require any additional server url. Please retry and contact us if you still encounter an issue.

You can create your Questionnaire in any language and even using scripts. You just need to input your questions label in your language or script of your choice.

If you plan to use the SMS channel, you can also use any language for the automatic reply SMS.

Only Administrators can register new Users. To do so, you need to do the following:

  1. Go to “Your account” at the top of the page
  2. Then click on the blue tab “Users”
  3. Then “Add a User” on the right hand side
  4. Then fill out your information
  5. The newly registered user will receive a confirmation message via email.

  1. When logged in, please click on the All Identification Numbers link in the upper hand side.
  2. From the All Identification Numbers page, click on the Identification Number type. All the Identification Numbers in this type will be displayed.
  3. If you want to delete only a few ones, you can select them by selecting the check box next to the Identification Number’s name and then select delete from the Actions dropdown list. If you want to delete them all, please check the check box in the first column (in the grey area). All the Identification Numbers will be selected. And then select “delete” from the Actions dropdown list.
  4. A confirmation message saying Identification Number(s) successfully deleted will be displayed.
  1. Click on the Contacts button at the top right hand corner. You will see a list of all Registered Contacts.
  2. On the left hand side, you will see little check boxes next to each name. Click on one, and then go up to the “Actions” button on the top left hand side.
  3. Click on “Add to Questionnaire.” You will see a list all of your Questionnaires.
  4. You can then specify which Questionnaires your selected Contact or Data Sender will have permission to submit data for.

If you have a very long Questionnaire of more than 250 questions, note that the maximum number of Submissions which can exported at a time is 10,000 Submissions.

DataWinners uses Vumi, an open source messaging transport created by the Praekelt Foundation for core messaging services. Vumi can interface with any number of SMS gateway providers and Mobile Network Operators (MNOs). In Madagascar, DataWinners integrates directly with Airtel via SMPP (as supported by Vumi). We also have integrations with gateway providers in India and Clickatell in the US.

With DataWinners, you can collect data using any of the following channels: SMS, Smartphone/Tablet (we have our own DataWinners App in the Google Play Store) and via a Webform.

For the SMS channel, the Data Admins create the Questionnaire online. DataWinners then produces a pdf version of the Questionnaire. The Data Admins print out this pdf, then use it to train their field staff/employees. Field staff then use their own simple mobile phones to SMS in their answers (no Internet required).

With DataWinners Android app, offline data collection is possible. Users need connection only when downloading the blank Questionnaires and when submitting filled out Questionnaires.

Simply select GPS Coordinates as an answer type when creating your Questionnaires.

Once a person is registered as a User, he is automatically registered as a Data Sender. This is why you cannot register this person again as a Data Sender. If you check in the Contacts page, you can see that all of your Users are already there.

From the Contacts page, to link existing Data Senders to a Questionnaire, check the Data Sender’s check box and select “Add to Questionnaire” and you can select the Questionnaire(s) to which you want to link the Data Sender(s).

When importing a list of Identification Numbers, the first step is to download the Excel template from DataWinners. This template has been generated to match the Identification Number type in question. All columns are mandatory when filling out the Excel file, apart from the Unique ID cell.Leave the Unique ID cell blank if you would like DataWinners to generate an Identification Number ID for you.

If the template contains a question related to GPS coordinates and you do not have this information when filling out the Excel file, you may enter 0.0,0.0 as a placeholder in the corresponding cell (with no spaces between the numbers).

When entering multiple-choice questions in the Excel file, it is necessary to enter the letter of the choice option instead of the value it represents. For example: with “a) Green” and “b) Yellow”, you would enter “a” for green and “b” for yellow.

A detailed log is not available but you can check in the sent reminders page if your reminders have been sent.
You can check in the Dashboard page as well how many reminders have been sent. Only delivered reminders are displayed there

Please try downloading the file again. The Excel file may be corrupted if the Internet connection is not very good when downloading your data.

Yes. When you export your data to Excel, the latitute and longitude fields are displayed in separate columns. This should facilitate the exportation into Arc GIS

For SMS collection, we link a local phone number to your account, via a virtual hosting. We can link either a normal SIM or a toll free number depending on the services available in the country.

With DataWinners, you do not need to activate your Questionnaire to start collecting data. Once a Questionnaire is created, it’s automatically active. When you are ready to collect real data, delete your test data on the Submission Log page and you can start with a clean database.

With DataWinners, you can register an unlimited number of users for the same price.

If the unique IDs are already used you have to attribute new IDs to be able to import them. Please note that an ID can be used only one time. If you delete an Identification Number, his ID cannot be reused.

  1. Click on the blue tab “My data senders”
  2. Check the box next the data sender for whom you would like to edit info
  3. Select Edit in the Actions drop-down list
  4. Make your changes and click on Save changes

The analysis page shows only successful Submissions.

If you cannot find your data in the Analysis page, please go to the Submission Log page. Successful and error Submissions are displayed in this page.

With DataWinners, you can export your data to Excel and from Excel, export it to SAS, SPSS, etc. Another way is to use our APIs.

DataWinners clients handle the SMS charging issue in a few different ways:

  1. The Data Senders pay the cost of the local SMS
    • If the Data Senders are employees of the org, sometimes they provide them with a little extra money in their monthly salaries to compensate for the cost of the SMS. This usually amounts to less than $1/month
    • Sometimes our DataWinners clients also send a little bit of phone credit to each Data Sender before the reporting deadline. This happens frequently when the Data Senders are not their direct employees.
  2. Toll free SMS
    • We provide these services depending on the country. Please get in touch with us for more detailed information.
  3. Reimburse Data Senders with Mobile Money / Airtime Credit

No. You cannot deactivate a Questionnaire. However, you can unlink all the Data Senders from the Questionnaire so they won’t be able to send in data anymore.

To do so, please follow the steps below:

  1. Click on the Contacts button,
  2. Search for the Questionnaire you want to unlink the Data Senders from,
  3. Select all the Data Senders linked to it,
  4. Select “Remove from Questionnaire” in the Actions dropdown list,
  5. Confirm

It is possible to subscribe with a single account for the organization and then create an unlimited number of Questionnaires within that single account for all of your various programs (health, education, etc.). Each User will have their own unique login (email address and password), and will have access to all of the organization’s Questionnaires within the account. Therefore, if you’d like to keep the program data completely separate, your organization may be interested in creating multiple accounts.

When an Identification Number is deleted, you can no longer use it or its unique ID.

To edit your Data Sender’s phone number, follow the steps below:

  1. Click on “Contacts” at the top of the page
  2. In the search field, enter the phone number you want to edit or the name of your Data Sender
  3. Only this specific Data Sender will be listed. Check the checkbox related to this specific Data Sender
  4. Select edit in the Actions dropdown list
  5. Edit the phone number
  6. Click on “Save”

All the choices are displayed in a single column, separated by a comma (“,”).

As a workaround, you can split the data in different columns using Excel: Select the cells, go to Data –> Text to columns –> Choose “Delimited” in the pop-up window, then choose a delimiter (a semi-colon or a comma) and your data will be parsed into separate columns.

The best way to test the data extraction webservices is to use curl command.

If you have curl installed, please use the following line in your command terminal:

Your server could invoke the webservice by sending a request directly with the URL and providing the user credentials for digest authentication. Most programming platforms support sending digest-auth requests.

And your server should be able to get the response with data in its content.

The whole process is entirely automatic.

Data extraction within a specific time period:

DataWinners data extraction webservice API supports downloading data within a certain period. To do so, please include the start date and end date in.

If your account is linked to a toll free number, any data sender will be able to send SMS free of cost.
If you use a Post Paid SIM, your Data Senders will be paying the local SMS cost. This applies to unregistered Data Senders as well.

No, for now, it is not yet possible to add a logo on the Questionnaires.

No. With DataWinners, you can register an unlimited number of users.

When editing the Identification Number Registration Form, the second default question (Identification Number’s last name) should be kept for name and should not be reworded, as the value in this cell is the one displayed in the dropdown list along with the UID.

If you want to reassign the same phone numbers to new Data Senders, please delete the old Data Senders first and import your new list of Data Senders using the same phone numbers.

To avoid problem, you can filter your data — by date for example — and export it in multiple batches.

You can use third-party software or you use your own software if preferred using feed API access.

DataWinners has an integrated feed API that helps the users to perform Extract, Transform and Load (ETL) operations on the data collected. DataWinners has also added an API for sending out SMS via the application. The feed access is secured using a HTTP Basic authentication. The user has to provide the username and password to access any of the Submissions in the account.

DataWinners streams the feed data. There is no maximum limit on the number of feed entries sent out of DataWinners. DataWinners will continue to stream data as long as there is valid data for the given query parameters, and will close the connection once the feed entry for the last Submission has been sent.

Yes. This is possible. We work with our clients in each country to link a local number to their account. The client’s job is to obtain a postpaid local SIM that has been enabled for roaming. Once you have the SIM, we virtually host and link it to your account.

If you can obtain what’s called a “reverse billed” or “toll free” number from the local telephone company, we can link that number to your account. Then your Data Senders will not have to pay for SMS submissions.

Yes. In DataWinners, you can duplicate your existing Questionnaire and edit questions inside according to the new Questionnaire specific needs.

Yes. Your User can access specific Questionnaires depending on the roles and permissions you set for him.

Different roles are available in DataWinners:

  • Account Administrator: The creator and manager of the DataWinners account

To do so:

  1. Please click on the Account link next to Profile at the top of the page,
  2. Then click on the blue tab, “Users”

  4. Then click on “Add a user” at the top right hand of the page, fill in all the information and then click on “Register”

The Identification Number for whom you are trying to submit data is not registered in DataWinners yet. Identification Number must be registered before a data related to it can be submitted.

To delete a data record, click on the “Submission Log” page for the Questionnaire, select the data record you wish to delete by clicking on the corresponding box in the left-most column, then select “Delete” from the Actions drop down menu.

With DataWinners, you can register as many users as needed and you can set roles and permissions for each of them. Each access is protected by a password.

Make sure you are logged in to the Google Play Store with the account connected to your device.

Before installing DataWinners on your tablet, make sure that you have already a Gmail account. Gmail is required to access the PlayStore from which you can download DataWinners.

No. It’s not possible to reference a variable for two different forms. DataWinners uses a flat database, and each Questionnaire is independent.  If you want to use calculation, for example, the variable you reference should be in the same XLSForm file.

Our specific target end users are program managers of development projects who are tired of making resource allocation decisions in the absence of data. So we think of DataWinners as sort of like Survey Monkey for development professionals. Our main targets are organisations and individuals working in developing countries.

After hitting “Register” on the Web form, you should see a green confirmation message displayed on your screen. Then you see the blank form again. You’ll need to close the pop up window to get back to the Data Senders page and see your new Data Sender listed.

Within your DataWinners account itself, you can have very basic charts.

If you want to generate custom reports, we’ll need to develop a customized application for you. If you’re interested, the costs will depend on your specific needs.

You need connection only when downloading the Questionnaires on your Smartphone or Tablet and when uploading your filled Questionnaires. You can choose between a Wifi and a data plan depending on the available services.

Your Data Senders can fill the downloaded Questionnaires even offline. So they don’t need to be constantly connected.

You can limit the number of answers which can be selected for a multiple choice question by adding the following syntax in the related constraint column:

This not yet possible but you can use the below workarounds:

  1. You can merge data from the Questionnaires in Excel using the unique IDs as an identifier. (example: teacher’s unique ID)
  2. If you plan to use Smartphone to collect data, you can create your questionnaires with XLSForm and merge all your Questionnaires in one Questionnaire. You can use teachers ID as an identifier, then have multiple groups for your different questionnaires. The Data Senders can skip the sections they do not have to fill out.

You have to provide email address for each of your Data Senders because DataWinners will use these email addresses to send an activation email to each of them so they can activate their account.

For example: With two variables a1 and a2, where you want a2 to be lesser than a1, you can enter the following syntax in the constraint column of the a2 question:

Our model is one subscription per organization per country. However, for each subscription, the Data Admins can give read/write access to as many users as they like. So, the Water/Sanitation team can have their own login/password and so can the Child Protection team. Within one account, you can have an unlimited number of Questionnaires and can share the data with multiple Users. You can set different roles and permissions for each User.

Please make sure that the format of the numbers cells is “text” in your Excel file template before importing the file. Otherwise, the numbers will be rounded.

On any map, the pins represent either the registered Data Senders or the registered Identification Numbers. You can choose to display only Data Senders or only Identification Numbers

If you have a Questionnaire with a cascades list containing hundreds or thousands of choices, it slows down the loading process and has impact on your device’s performance. The External Selects function helps these lists load more quickly. It works the same way as cascades sheet but with an enhanced performance.

To use External Selects:

  1. For the first level, use select_one for the prompt type and list your “States” in the choices sheet as usual (Example: State),
  2. For each lower level:
    • In the survey sheet, use select_one_external for the prompt type (Examples: select_one_external counties, select_one_external cities),
    • Enter the reference to the cascade level in the choice_filter column (Examples: state=${state}, state=${state} and county=${county}),
    • In the external_choices sheet, enter your choices as shown below. A column is required for each level (Examples: state, city)

You can have an unlimited number of respondents with DataWinners. The 1,000 outgoing messages count for:

  1. The automatic reply your respondents receive when sending in data,
  2. The automatic reminders you can set for your projects and,
  3. Ad hoc messages you send to field staff.

No. Editing your Data Sender location from the Data Senders or Contacts database don’t have any impact on your collected data.

No. As DataWinners use a flat database, this not yet possible. But below a few workarounds to help you with your data analysis:

We’re hosting your number in our system so roaming is required so we could receive and deliver all your SMS into your DataWinners account. In fact, your Data Senders will send data to a local number but as our server isn’t located in your country, we need the roaming to be able to manage all the SMS traffic.

No other features/services with the network provider needs to be enabled. We just need a postpaid SIM, enabled for roaming.

There are two different confirmations. We put the content of the SMS in the reply when the reply plus the answers provided can fit in one SMS (160 chacacters). If the answers are too long for the SMS, we just say “Thank you. We received your SMS”. It depends on the length of your Questionnaires and the answers provided.

With the standard DataWinners feature, repeated sets are always displayed in different sheets when exporting data to Excel. Please contact our Customer Support if you are interested in having all your data merged in one sheet.

DataWinners Android App allows you to work offline. You can fill out your questionnaires, save them onto your device even offline. When you have a connection, you can send out the data.

You need connection only when downloading the Questionnaires on your device and when sending your filled Questionnaires. Please watch our video to learn more.

  1. Reduce the number of ad-hoc SMS sent from the system and use it only when necessary (Using the Send a message feature). You can also filter your recipients using Contacts & Groups to send your SMS only to a Group instead of all Data Senders.
  2. Check in your Data page if you have many error Submissions. If yes, work with your Data Senders to help them submit data successfully, to avoid multiple error messages.

Each time a Data Sender submits data, DataWinners will evaluate the SMS and automatically send back a message. If the SMS contains any errors, DataWinners will return an error message specifying the mistake made. If the SMS contains no errors, then DataWinners will return a success message along with a summary of the submitted answers.

The Data Sender can then review the summary or re-submit in case of any inadvertent errors.

The number of filled questionnaires that can be stored offline is not limited. It depends on the storage capacity of your phone. If you have 1GB for example, that could already store a lot of questionnaires because the size of each filled questionnaire will be in KB.

You can use the following syntax under the constraint column: .>= 18 and .<= 100

Note: The spaces between the periods and the “<” and “>” signs. In this example, the answer must be a number between 18 and 100.

Our payments must be done in USD. You can wire the payment from your Iocal bank account to our Bank account in US. To proceed, you can just let the bank know how much in USD you want the beneficiary to receive.

  • It may be due to a network problem. Please ask them to re-submit.
  • Ask your Data Senders to check their SMS inbox to make sure that it’s not full.
  • Ask your Data Senders to check if they submitted their data to the right number.

You can fill out Questionnaire even offline. You just need to tap on Save Questionnaire and Exit when you’re done. The filled out Questionnaires will be stored in your Smartphone till you send them.

XLSForm: How to constrain a date to be an interval between two dates

To apply a constraint between two dates, enter the following syntax in the column constraint :

In your  scenario, 200 recipients sending/receiving 5 messages per day = 1,000 SMS per day X 30 days in a month = 30,000 messages.Assume half of these messages are sent by the recipients (inbound) and half sent by DataWinners (outbound).

Cost would be:

  • $299/month for the subscription
  • 15,000 inbound messages (SMS costs paid by each sender. Assume $0.05/SMS = $750). Also possible to organize a toll-free number so recipients don’t have to pay when sending in their data. Costs vary by country.
  • 15,000 outbound messages (first 1,000 are free, then cost is by bundle of 500 messages for $50. So $1,400)

Total: $299 + $750 + $1,400 = $2,449.

In the current release of DataWinners, Success and Error messages can be sent in English, French, Malagasy and Portuguese. You can also add new language if needed by customizing the reply messages in the Language pages.

Yes. You can fill out as many Questionnaires as you want in offline mode. The important thing is that you have the Questionnaires already downloaded onto your phone.

To calculate the number of months between two dates, enter the following syntax in the calculation column:

The Data Sender tries to edit a filled Questionnaire with an older version of your Questionnaire.

  4. Check the option: “Let apps use data from sources such as Wi-Fi and mobile networks to determine your approximate location”
  5. Tap on “Accept”
  6. Go back to your Questionnaire and tap “Record location” once the location is displayed

You get this error message in your smartphone because “field-list” appearance cannot be used in subgroups.

One possibility is that the Save button was not pressed after the device detected the location. It is necessary to press Save before shifting to the next question or submitting your questionnaire. You should not press on the Record location button again. After the app has detected your location, please swipe on the screen as if you want to shift to the next question, and then the Save button will appear.

Another possibility is you didn’t activate the GPS option in your phone. To do so, please follow the steps below:

  1. Press on Settings,
  2. Then on Location and Security,
  3. Check the box next to Use GPS Satellites.
  1. Put 0 as name value for No and 1 for Yes
  2. Add a calculate row to calculate the total of “yes”
  3. Add another calculate row to generate the scoring

With DW 3.0 and up, users can hide some of the main menu elements (Get Questionnaires, Send Finalized Questionnaires, etc.). You can do so in the Admin settings.

Do the following:

  1. Inside the DW application, press the “Menu” button
  2. Then tap “Admin settings”
  3. Ensure that all the main menu items are checked
  4. Go back to the main menu. The “Send Finalized Questionnaire” menu should be available.

Your image attachment is missing.

Please proceed as follows:

  1. Tap on “Edit Saved Questionnaire”
  2. Select the Questionnaire
  3. Identify the image question
  4. Re-attach the image by browsing in your image folder
  5. Submit your Questionnaire

This can happen for the following reasons:

  • The Smartphone memory is full and the application is taking time to start
  • Connectivity issue or insufficient data plan
  • The server setting of the DataWinners application is incorrect. The URL should be the following: https://app.datawinners.com/xforms
  • The URL must begin with “https” not just “http”

To download a Simple Questionnaire to PDF, follow the steps below:

  1. From the Overview page, click on “Print your Questionnaire” blue link
  2. Then, on your right, click on “Print” and choose “Select as PDF” from the PDF dropdown list.

To delete the error messages logged in the Smartphone application, follow the steps below:

  1. Open Settings
  2. Select DataWinners
  3. Tap on “Clear Data”
  4. Tap on “Clear Cache”
  • A Poll is a one-question survey whereas a Questionnaire can contain one or more questions.
  • A Poll doesn’t require a Questionnaire code and Poll recipients can submit their answer directly. No specific answer format is required.
  • For a Poll, no training for the Data Sender is needed as the instructions are directly in the SMS or broadcasted and any answer is allowed.
  • Poll answers can be submitted using SMS only.

This may be due to a memory problem or synchronization error with your Google account.

Try the following:

  1. Go to Settings > Applications > All
  2. Select the “Google Play Store”, clear the cache and data.
  3. Restart your Phone.
  4. Make sure there is sufficient space on the phone’s memory and on your SD card.

If the above solution doesn’t work, try the following:

  1. Go to “Settings” > “Accounts” > “Google” and delete the current account.
  2. Turn off your phone.
  3. Restart your phone in Recovery mode (Press the Home + Volume Up + Power).
  4. A menu will appear, you can navigate using the volume keys.
  5. Select “Wipe Cache Partition”
  6. “Clear Cache”.

A DataWinners Poll is ideal when you need to collect a little bit of information from a big group of people; when you want their short answers to a straightforward question: “Did you get the textbook shipment?  Please respond YES or NO.” You can also broadcast your open-ended question through other channels (for example: radio) and collect SMS responses: “Please send us information about any illegal poaching in your area.”

No. As we want this to be as easy as possible for the people sending in data there is no specific answer type. Everything is a valid answer which means all Submissions are considered as successful submissions and displayed in the Poll Data Analysis page.

Check if your login information is correct.

If this happens when downloading blank Questionnaire, check if the connection works.

No. You may only have one active Poll at a time. To create a new Poll you must first deactivate your current Poll.

This is a connection issue. Please check if your device is connected and try again.

To extend the duration of your Poll, follow the steps below:

  1. Click on the ‘Poll’ tab
  2. Click on ‘Poll is active from to edit the period
  3. Click on ‘Change’

Uninstall the DataWinners application from the Android device and then reinstall it.
Try again to download the questionnaire after this process.

No. You’ll need to deactivate the active Poll first before creating a new Poll. A Poll is immediately activated when you create it, so you cannot set a future date for your Poll start date.

You get this error because no Identification Number has been registered yet.

If you broadcast your Poll through other channels (example: radio), then anyone can submit answers. While this Poll is active, DataWinners will first examine the Questionnaire Code at the beginning of the SMS. If DataWinners does not recognize the code, it will consider the Submission a response to the open-ended Poll. As such, during the active period, if your Data Sender submits an incorrect code in response to another Questionnaire, DataWinners may incorrectly place this submission in the Poll database. To minimize this risk, select the minimum number of active days you require for your Poll.

If you get this message on your Smartphone when you want to fill out your Questionnaire, this means that you have encountered errors previously and these errors appear again when you want to fill out Questionnaires. To avoid these displayed errors, you should clean up the data registered on your Smartphone. To do so, please follow the steps below:

Step 1: Click on the “Menu” button on your Smartphone through the main screen
Step 2: Click on “My files” icon
Step 3: Choose “odk”
Step 4: We have 3 files “forms”, “instances” and “metadata” and choose “forms” first
Step 5: Delete all contents of “forms” “instances” and “metadata”
Step 6: Through the menu with your Smartphone, click on “Settings”
Step 7: Choose “Applications” and “Manage Applications”
Step 8: Then choose “DataWinners”
Step 9: Finally, click on “clear data”

The person who sends the SMS receives “Error, Questionnaire code is incorrect”. The Submission is logged under the “Failed Submissions” page.

Filled-out Questionnaires are not submitted automatically, They are stored in your device until you send them.

In order to submit your Filled-out Questionnaires:

  1. Tap on “Send Finalized Questionnaires”
  2. Select the Questionnaires you want to submit

Once your Questionnaire is created on DataWinners, you have three options to share it with your Data Senders:

  1. SMS: print the form and share it during the Data Senders training or print as pdf and send via email,
  2. Web: register your Data Senders’ email address in the Data Senders database. They’ll receive an activation email allowing them to access the Questionnaire(s) you granted them access to,
  3. Smartphone/Tablet: register your Data Senders’ email address in the Data Senders database. They’ll receive an activation email allowing them to access the Questionnaire(s) you gave them access to. Then they just need to download the form onto their mobile device.

This feature is not yet available in DataWinners. Account users can control submissions by deleting any surplus submissions on the Submission log.

You can also export your data to Excel and then use Excel’s filter to find duplicates and extract your data without any duplicate. To do so, you can do as follow:

  1. From the Data menu, choose Filter and then select Advanced Filter to open the Advanced Filter dialog box.
  2. Select Filter the list, in-place
  3. For list range, select the column containing your data that may contains duplicates.
  4. Check Unique Records Only and click OK.

No, it is not yet possible to send a link to people to invite them to answer the Questionnaire via Web, they need to be logged in to do so.

Two options:

  1. If you want your respondents to be identified, you can prepare a list of emails of the target people or even create email addresses, register these emails in your account as data senders and activate the accounts. Then you can send out the invitation to your target people along with their login information so they could submit data using the Web form.
  2. If it doesn’t matter that all respondents fill out the form using the same identifier, you can register only one email as a data sender and provide the login information in your invitation email.

It depends on the channel that you chose:

  • SMS: you will have to print the SMS preview and provide it to your Data Senders or print it to PDF and send by email. They’ll submit data by sending an SMS to a number linked to your DataWinners account.
  • Smartphone: download the questionnaire onto the Smartphone. Once the questionnaire is downloaded, your Data Senders can fill them out even offline and upload them only when they have connection. Please watch our video on YouTube to learn more about how to use our Smartphone application
  • Web: the questionnaire is available and updated automatically.

To be able to enter a negative number, you should enter a negative number (example -10) as a minimum in your answer type.

If the submission is not successful, your Data Sender will receive an error message describing the specific problem. Here is a list of common errors encountered.

That means that you have a quota of 1,000 SMS in your DataWinners Subscription, including automatic reply SMS, reminders, API and SMS sent via send a message. If you go beyond the 1,000 SMS per month, you can buy 500 more for $50.

DataWinners SMS service includes the following functions: SMS collection; Customizable Reply SMS upon receipt of SMS submission; Reminders; Send a message, allowing you to send grouped SMS to you Data Senders or to a group of recipients and one-question polls (“Did you receive the textbook shipment? Please respond with YES or NO”).

 

With DataWinners, you can collect data using any of the following channels: SMS, Smartphone/Tablet (we have our own DataWinners App in the Google Play Store) and via a Webform.

For the SMS channel, the Data Admins create the Questionnaire online. DataWinners then produces a pdf version of the Questionnaire. The Data Admins print out this pdf, then use it to train their field staff/employees. Field staff then use their own simple mobile phones to SMS in their answers (no Internet required).

With DataWinners Android app, offline data collection is possible. Users need connection only when downloading the blank Questionnaires and when submitting filled out Questionnaires.

For SMS collection, we link a local phone number to your account, via a virtual hosting. We can link either a normal SIM or a toll free number depending on the services available in the country.

DataWinners clients handle the SMS charging issue in a few different ways:

  1. The Data Senders pay the cost of the local SMS
    • If the Data Senders are employees of the org, sometimes they provide them with a little extra money in their monthly salaries to compensate for the cost of the SMS. This usually amounts to less than $1/month
    • Sometimes our DataWinners clients also send a little bit of phone credit to each Data Sender before the reporting deadline. This happens frequently when the Data Senders are not their direct employees.
  2. Toll free SMS
    • We provide these services depending on the country. Please get in touch with us for more detailed information.
  3. Reimburse Data Senders with Mobile Money / Airtime Credit

If your account is linked to a toll free number, any data sender will be able to send SMS free of cost.
If you use a Post Paid SIM, your Data Senders will be paying the local SMS cost. This applies to unregistered Data Senders as well.

Yes. This is possible. We work with our clients in each country to link a local number to their account. The client’s job is to obtain a postpaid local SIM that has been enabled for roaming. Once you have the SIM, we virtually host and link it to your account.

If you can obtain what’s called a “reverse billed” or “toll free” number from the local telephone company, we can link that number to your account. Then your Data Senders will not have to pay for SMS submissions.

To allow us to link a local number to your account, you just have to get a postpaid SIM, enabled for roaming. Once you get the SIM, we’ll do some testing and link the number to your account.

Create a New Questionnaire

With DataWinners, you can create an unlimited number of Questionnaires quickly and easily. Every Questionnaire has a unique code. Data Senders start their SMS message with this code in order for DataWinners to identify which Questionnaire the Data Sender is answering. This code can be a combination of numbers and letters.

Yes. You can build your questionnaire in any language. Questions may be entered in any language or script (for example, Thai or Khmer). It is up to you to determine what language best apply to your Questionnaire and Data Senders.

Yes, DataWinners allows you to have skip logic. A question can be skipped or displayed depending on a previous answer.

You can use “count()” when you want to know and display the number of times a series of questions is repeated.

“Autocomplete” is a widget used in XLSforms. It helps you find the Identification Number or the choice you need without a lot of scrolling.

The External Selects function helps these lists load more quickly. It works the same way as cascades sheet but with an enhanced performance.

To use External Selects:

  1. For the first level, use select_one for the prompt type and list your “States” in the choices sheet as usual (Example: State),
  2. For each lower level:
    • In the survey sheet, use select_one_external for the prompt type (Examples: select_one_external counties, select_one_external cities),
    • Enter the reference to the cascade level in the choice_filter column (Examples: state=${state}, state=${state} and county=${county}),
    • In the external_choices sheet, enter your choices as shown below. A column is required for each level (Examples: state, city)

You can use the concat (concatenate) function to combine values from previous questions in the Questionnaire.

  • A Poll is a one-question survey whereas a Questionnaire can contain one or more questions.
  • A Poll doesn’t require a Questionnaire code and Poll recipients can submit their answer directly. No specific answer format is required.
  • For a Poll, no training for the Data Sender is needed as the instructions are directly in the SMS or broadcasted and any answer is allowed.
  • Poll answers can be submitted using SMS only.

A DataWinners Poll is ideal when you need to collect a little bit of information from a big group of people; when you want their short answers to a straightforward question: “Did you get the textbook shipment?  Please respond YES or NO.” You can also broadcast your open-ended question through other channels (for example: radio) and collect SMS responses: “Please send us information about any illegal poaching in your area.”

You have two options:

  1. Send the Poll by SMS to a specific group of recipients. Only the recipients of the SMS can respond.
  2. Broadcast the Poll through other channels outside of DataWinners (Radio, TV shows, Billboards, etc.). Anyone can send an SMS response.

No. As we want this to be as easy as possible for the people sending in data there is no specific answer type. Everything is a valid answer which means all Submissions are considered as successful submissions and displayed in the Poll Data Analysis page.

No. You may only have one active Poll at a time. To create a new Poll you must first deactivate your current Poll.

To extend the duration of your Poll, follow the steps below:

  1. Click on the ‘Poll’ tab
  2. Click on ‘Poll is active from to edit the period
  3. Click on ‘Change’

No. You’ll need to deactivate the active Poll first before creating a new Poll. A Poll is immediately activated when you create it, so you cannot set a future date for your Poll start date.

If you broadcast your Poll through other channels (example: radio), then anyone can submit answers. While this Poll is active, DataWinners will first examine the Questionnaire Code at the beginning of the SMS. If DataWinners does not recognize the code, it will consider the Submission a response to the open-ended Poll. As such, during the active period, if your Data Sender submits an incorrect code in response to another Questionnaire, DataWinners may incorrectly place this submission in the Poll database. To minimize this risk, select the minimum number of active days you require for your Poll.

The person who sends the SMS receives “Error, Questionnaire code is incorrect”. The Submission is logged under the “Failed Submissions” page.

Once your Questionnaire is created on DataWinners, you have three options to share it with your Data Senders:

  1. SMS: print the form and share it during the Data Senders training or print as pdf and send via email,
  2. Web: register your Data Senders’ email address in the Data Senders database. They’ll receive an activation email allowing them to access the Questionnaire(s) you granted them access to,
  3. Smartphone/Tablet: register your Data Senders’ email address in the Data Senders database. They’ll receive an activation email allowing them to access the Questionnaire(s) you gave them access to. Then they just need to download the form onto their mobile device.

No, it is not yet possible to send a link to people to invite them to answer the Questionnaire via Web, they need to be logged in to do so.

Two options:

  1. If you want your respondents to be identified, you can prepare a list of emails of the target people or even create email addresses, register these emails in your account as data senders and activate the accounts. Then you can send out the invitation to your target people along with their login information so they could submit data using the Web form.
  2. If it doesn’t matter that all respondents fill out the form using the same identifier, you can register only one email as a data sender and provide the login information in your invitation email.

Contacts & Data Senders

A Data Sender is a person who sends in data. With DataWinners you can authorize people to send in data by first registering them as Data Senders. Then DataWinners will recognize the Data Senders by their telephone numbers or email addresses.

With DataWinners, you have two types of user: Users and Data Senders.

  • Data Senders : People who are submitting data for your Questionnaires. They can submit data, register a new Identification Number, and import a list of Submissions.
  • Users: They can do the same thing as the Data Manager apart from adding a new User (Create/Edit Questionnaire, Submit Data, View Data, Register an Identification Number, Register Data Sender, etc.). Once a person is registered as a User, he is automatically registered as a Data Sender.

  • In bulk using “Import a list”
  • In the field using SMS

Data Senders

Yes. Registration is required if you’re collecting data only from registered Data Senders. During registration you will be asked to include the telephone number that the Data Sender will use to send SMS. When registered Data Senders SMS in data, DataWinners will recognize the registered telephone number and accept the data. Any SMS from a non-registered number will be rejected and the Data Sender will receive an automatic error message.

For Web and Smartphone/Tablet channel, DataWinners will check the authorization by the email address of the Data Sender.

Each of your Data Senders must have their own login and password to use the Android application.

To do so, follow the steps below:

  1. Register your Data Senders by registering an email address for each,
  2. Ask them to activate their account by clicking on the activation link in the email sent by DataWinners (they can create their own password)
  3. Set each device using this information (login and password).

You can include a GPS question in your Questionnaire.

Using our Android application, you can capture the coordinates of the place where your Data Sender is located while filling out the Questionnaire.

  1. Go to the Contacts page
  2. Click on Import Contacts
  3. Download the template: DataWinners_ImporterContacts
  4. Enter your Contacts information in the template and save

To give a Data Sender access to DataWinners via Web and Smartphone:

  1. Check the checkbox corresponding to the Data Sender,
  2. Select “Give access to Web and Smartphone” in the Actions dropdown list,
  3. Enter the email address of the Data Sender.

No. As the creator of the questionnaires, you specify which of your Data Senders has permission to submit data for each questionnaire created.

Click on the Contacts button at the top right hand corner. You will see a list of all Registered Contacts. On the left hand side, you will see little check boxes next to each name. Click on one, and then go up to the “Actions” button on the top left hand side. Click on “Add to Questionnaire.” You will see a list all of your Questionnaires. You can then specify which Questionnaires your selected Contact or Data Sender will have permission to submit data for.

No. Once registered, a Data Sender is able to send in data for all current and future Questionnaires. You have to register a Data Sender only one time and just link him to a specific Questionnaire when needed. To do so please:

  1. Click on the “Contacts” button,
  2. Check the box next to the Contacts or data senders you want to link to your Questionnaire,
  3. Then choose Add to Questionnaire in the Actions dropdown list at the top of the page,
  4. Then select your Questionnaire(s) in the list of Questionnaires, and click on Confirm at the bottom of the page.
  1. Click on the Contacts button at the top right hand corner. You will see a list of all Registered Contacts.
  2. On the left hand side, you will see little check boxes next to each name. Click on one, and then go up to the “Actions” button on the top left hand side.
  3. Click on “Add to Questionnaire.” You will see a list all of your Questionnaires.
  4. You can then specify which Questionnaires your selected Contact or Data Sender will have permission to submit data for.

A detailed log is not available but you can check in the sent reminders page if your reminders have been sent.
You can check in the Dashboard page as well how many reminders have been sent. Only delivered reminders are displayed there

  1. Click on the blue tab “My data senders”
  2. Check the box next the data sender for whom you would like to edit info
  3. Select Edit in the Actions drop-down list
  4. Make your changes and click on Save changes

To edit your Data Sender’s phone number, follow the steps below:

  1. Click on “Contacts” at the top of the page
  2. In the search field, enter the phone number you want to edit or the name of your Data Sender
  3. Only this specific Data Sender will be listed. Check the checkbox related to this specific Data Sender
  4. Select edit in the Actions dropdown list
  5. Edit the phone number
  6. Click on “Save”

If you want to reassign the same phone numbers to new Data Senders, please delete the old Data Senders first and import your new list of Data Senders using the same phone numbers.

Step 1: Delete old Data Senders

  1. Click on the All Data Senders button at the top of the page
  2. Select all your Data Senders
  3. Select “Delete” in the Actions dropdown list above the table

Step 2: Import your new Data Senders list

  1. Click on the Questionnaire you want to work on
  2. Click on the Blue tab “My Data Senders”
  3. Click on the import link on your right
  4. Click on “Import template”
  5. Fill out and save the Excel file
  6. Go back to the DW application and click on the gold button “upload a file”

No. They need to set their own password.

When you register your Data Senders in your account, DataWinners sends them an email. They need to click on the activation link within 7 days and create their own password.

No. Exporting Data Senders list is not yet possible with DataWinners.

No. It is not possible.

You can register your Data Senders using dummy email addresses using mailinator.com for example, and activate and set password for your Data Senders instead of them doing it.

If you receive data from an unregistered Data Sender, only the phone number will appear.

However, if you register this data sender using the phone number he used to submit data previously, ALL the data he submitted, even before the registration, will be displayed under his name.

The maximum number of characters for a Data Sender ID is 12.

No. GPS coordinates are optional. If you want to enter GPS coordinates, you can use itouchmap to find the coordinates

No. Your Data Senders will only have access to the Web forms and the Identification Number registration forms of the specific Questionnaire(s) for which they are authorized to make submissions. They won’t have access to your account or the data itself.

Each Data Sender’s phone number must be registered correctly in your account before they can submit data.

The format must be as follows: country code + phone number (without the leading 0)

After hitting “Register” on the Web form, you should see a green confirmation message displayed on your screen. Then you see the blank form again. You’ll need to close the pop up window to get back to the Data Senders page and see your new Data Sender listed.

Please use the Excel template generated by DataWinners to import your Data Senders list.In the Excel template only the phone number is mandatory. For the Location and GPS Coordinates field, you should fill out at least one of them. If you would like to authorize the Data Sender to submit only with SMS, you may leave the email address field blank. In the Unique ID field, please enter a code unless you want DataWinners to generate it for you, in which case you may leave the field blank.The number of characters for the Data Sender’s name should not exceed 30.

No. For data security, Data Senders do not have access to submitted data after submission. Only the Account Administrator and the Project Manager can view and check the submissions.

No. Current data is not deleted even if you delete the corresponding Data Sender.

No. Editing your Data Sender location from the Data Senders or Contacts database don’t have any impact on your collected data.

There are two different confirmations. We put the content of the SMS in the reply when the reply plus the answers provided can fit in one SMS (160 chacacters). If the answers are too long for the SMS, we just say “Thank you. We received your SMS”. It depends on the length of your Questionnaires and the answers provided.

Each time a Data Sender submits data, DataWinners will evaluate the SMS and automatically send back a message. If the SMS contains any errors, DataWinners will return an error message specifying the mistake made. If the SMS contains no errors, then DataWinners will return a success message along with a summary of the submitted answers.

The Data Sender can then review the summary or re-submit in case of any inadvertent errors.

  • It may be due to a network problem. Please ask them to re-submit.
  • Ask your Data Senders to check their SMS inbox to make sure that it’s not full.
  • Ask your Data Senders to check if they submitted their data to the right number.

In the current release of DataWinners, Success and Error messages can be sent in English, French, Malagasy and Portuguese. You can also add new language if needed by customizing the reply messages in the Language pages.

Data Senders having difficulty for whatever reason can send in a text explaining the problem. The only restriction is the Data Senders using SMS can’t use spaces (because DW considers a space the separator between two questions). So a typical response looks like this:

Message I.have.problems.with.my.phone (or whatever the issue might be). You can then contact them back for more details.

This is a network problem. Please ask your Data Senders to submit their data later.

DW-App Contextual Help

If you do not want yo use DataWinners with Amazon Web Services, you can download and install DataWinners onto your our own server.

DataWinners is an open source project. All the source codes can be found by clicking on the following link https://github.com/mangroveorg/mangrove. And the link for the android app is as follow https://github.com/mangroveorg/datawinners-smartphone.

No support is offered in that case.

Within a DataWinners account, you can have an unlimited number of projects and collect an unlimited number of data.

Once the sign up process is done, you should receive an email from DataWinners asking you to activate your account. Click on Activate your account link and you can start your trial.

With DataWinners, you can create an unlimited number of Questionnaires quickly and easily. Every Questionnaire has a unique code. Data Senders start their SMS message with this code in order for DataWinners to identify which Questionnaire the Data Sender is answering. This code can be a combination of numbers and letters.

A Data Sender is a person who sends in data. With DataWinners you can authorize people to send in data by first registering them as Data Senders. Then DataWinners will recognize the Data Senders by their telephone numbers or email addresses.

  • A supervisor measures the quality of care at a clinic. The Identification Number is the clinic
  • An engineer measures the flow rate of a water pump. The Identification Number is the water pump.

The first step is to create an Identification Number registration form for your Identification Numbers. Come up with a list of simple background questions you’d like to collect for each of your Identification Number types as part of the Identification Number profile. DataWinners provides a first draft of the Identification Number questionnaire. You can edit this to include any questions that would be useful for your Questionnaire.Once your Identification Number Registration Form is ready, you have three options to register your Identification Number profiles:

  1. One-by-one using the web form
  2. In bulk using “Import a list”
  3. In the field using SMS

With DataWinners, it is possible to send automatic reminders to your Data Senders to remind them to send in data. DataWinners can then send up to three reminders during each reporting period. You can specify when you want these reminders to be sent by checking the corresponding check box. Reminder message text can be edited as needed.

This functionality is only available for Pro SMS accounts.

To submit data on a basic phone, you type your SMS following the example shown on the SMS preview of your Questionnaire. You can access it in the Questionnaire builder page, click on the SMS preview in the upper hand side.

To do so, please:

  1. Click on the blue tab named Reminder,
  2. Set your deadline,
  3. Set the number of days before and after the deadline on which you want to send reminders and,
  4. Edit your text message for x day before, the day of the deadline, and x days after the deadline reminders.

Any SMS-enabled phone can send data.

With DataWinners, you can view your collected data in table formats, pie and bar charts. Data can be filtered by submission date, by data sender, by case and you can even make a search for keyword.

You need to sign up for an account to log in to a DataWinners account.

You can try DataWinners by signing up a free account, it’s free for one year and you can collect up to 1,000 Submissions, including 50 SMS Submissions.

Once the sign up process is done, you’ll receive an email from DataWinners asking you to activate your account. Click on Activate your account.

No. It’s not possible with a simple Questionnaire; all questions are mandatory.

If you want to make a question optional, use XLSForm to create your Questionnaire and do not put “yes” in the required column.

Each of your Data Senders must have their own login and password to use the Android application.

To do so, follow the steps below:

  1. Register your Data Senders by registering an email address for each,
  2. Ask them to activate their account by clicking on the activation link in the email sent by DataWinners (they can create their own password)

Yes. DataWinners’ Analysis pages can perform simple analysis of collected data, including mapping, charting and graphing functions.

Try changing your password on the account.

Go to https://app.datawinners.com/login/ and then click on Reset Password. Then in the email box, enter your email address. You should then receive an email that will let you set a new password.

You can include a GPS question in your Questionnaire.

Yes. It’s possible to register Identification Numbers using Smartphone.Fill out the Identification Number Type registration form using the DataWinners Android app exactly the same process as when you fill out a Questionnaire to submit data. Please follow the steps below:

  1. Download the blank Questionnaire onto your Smartphone by taping on the “Get Blank Questionnaire” menu
  2. Tap on “Fill Blank Questionnaire”. All Identification Numbers Type available will be listed as Questionnaires
  3. Fill out the selected Questionnaire by entering all the basic information about your Identification Number
  4. Once the Questionnaire is filled-out and saved, you can send it as a finalized Questionnaire.

Registering an Identification Number using SMS works exactly the same way as making an SMS Submission. But instead of submitting for a main Questionnaire, you use the Identification Number registration form. You can share this form with your Data Senders beforehand so they could register new Identification Numbers from the field, using SMS.

To find the SMS registration form, please follow the steps below:

  1.     Click on the blue tab “My (your ID number)”
  2.    Click on “(ID number) registration form”

Start with the Questionnaire code, then a space, then the answer to question 1, etc. Upon receipt of the Submission, DataWinners sends an automatic reply to your Data Sender with the ID asssigned to the ID number, allowing him to submit data related to this ID number.

When setting up reminders, set the deadline and choose when you want the reminders to be sent. DataWinners can then send up to three reminders during each reporting period.

If you check the checkbox at the bottom of the page saying: Only send reminders to senders who have not already submitted data for the current deadline, reminders will be sent to these people only.

No. It is not yet possible to view your data on the Smartphone application. You can view your record only from the Web application.

No. If you want to make changes or add columns, please edit the Identification Number registration form instead of the Excel template, as this will generate an error. Once you’ve made all the changes, please download the template one more time.

You can only set one due date in a DataWinners Questionnaire so this is not possible.

  1. You can create a Questionnaire for each deadline just for reminders and sending SMS to a group. For example, one Questionnaire for weekly deadline, another one for monthly deadline, another one for semi-annual and a fourth one for annual deadline. Let’s call these “group Questionnaires”, with just a dummy question in each Questionnaire. Your Data Senders will be submitting data to the first real Questionnaire. This way you will be able to have all your data in one Questionnaire.
  2. Link all the Data Senders related to each group to the appropriate Questionnaire (Example: link all the Data Senders for whom deadline is weekly to the weekly Questionnaire, etc.).
  3. Set reminders in the weekly and monthly group Questionnaire. When you set the reminders, check only the “x days before the deadline” and “the day of the deadline” to avoid people from receiving reminders even if they’ve already submitted their data.
  4. For quarterly and semi-annual deadlines, as DW don’t have these options in the deadline dropdown list, you can send the reminders manually via “Send a message”. You can just choose “Data Senders linked to this Questionnaire” and the message will be sent only to the specific group.

Data Senders must be registered as Users to be able to access the data page. To do so, delete them from the Data Senders list and register them as a User. Then you can link them to the specific Questionnaires you want them to send in data.

Each week for example, the Project Manager can export the basic information, print it out and share with the Data Senders.

With DataWinners, you cannot reuse the same email address and phone number that has already been registered in another account. The system will not accept an email address that has previously been used for activation.

Yes, you can use branching logic using XLSForm. To learn more on XLSForm, please read the XLSForms Documentation or watch our video tutorial.

For data validation, you can set constraints in your Questionnaire, based on answers previously provided by your Data Sender, in the same Questionnaire.

To give a Data Sender access to DataWinners via Web and Smartphone:

  2. Select “Give access to Web and Smartphone” in the Actions dropdown list,

Yes. If your Android phone connects over a GPRS network, then our App can download newly created forms and send back filled out questionnaires.

Account access may be shared by creating User accounts for people in your organization. It is possible to add an unlimited number of Users to the account. Users will have access to all content in your account.

You can create your Questionnaire in any language and even using scripts. You just need to input your questions label in your language or script of your choice.

If you plan to use the SMS channel, you can also use any language for the automatic reply SMS.

No. Once registered, a Data Sender is able to send in data for all current and future Questionnaires. You have to register a Data Sender only one time and just link him to a specific Questionnaire when needed. To do so please:

  1. Click on the “Contacts” button,
  2. Check the box next to the Contacts or data senders you want to link to your Questionnaire,
  3. Then choose Add to Questionnaire in the Actions dropdown list at the top of the page,
  4. Then select your Questionnaire(s) in the list of Questionnaires, and click on Confirm at the bottom of the page.

Yes. You can delete an Identification Number type. Please follow the steps below:

  1. Click on the “Identification Numbers” button at the top of the page,
  2. Select the Identification Number type,
  3. Select “Delete” in the “Actions” dropdown list,

Please note that you cannot delete an Identification Number type if one Questionnaire is still linked to it. If this is the case, please remove the Identification Number type from Questionnaire or delete the Questionnaire first.

Normally, when you go to Play Store, Datawinners is already available for installation and does not require any additional server url. Please retry and contact us if you still encounter an issue.

No. Data can be exported to Excel only.

No. To ensure the security of your data, this is not feasible. You will have to register your users in your application one by one.

Only Administrators can register new Users. To do so, you need to do the following:

  1. Go to “Your account” at the top of the page
  2. Then click on the blue tab “Users”
  3. Then “Add a User” on the right hand side
  4. Then fill out your information
  5. The newly registered user will receive a confirmation message via email.

  1. Click on the Contacts button at the top right hand corner. You will see a list of all Registered Contacts.

  3. If you want to delete only a few ones, you can select them by selecting the check box next to the Identification Number’s name and then select delete from the Actions dropdown list. If you want to delete them all, please check the check box in the first column (in the grey area). All the Identification Numbers will be selected. And then select “delete” from the Actions dropdown list.
  4. A confirmation message saying Identification Number(s) successfully deleted will be displayed.

With DataWinners, you can collect data using any of the following channels: SMS, Smartphone/Tablet (we have our own DataWinners App in the Google Play Store) and via a Webform.

For the SMS channel, the Data Admins create the Questionnaire online. DataWinners then produces a pdf version of the Questionnaire. The Data Admins print out this pdf, then use it to train their field staff/employees. Field staff then use their own simple mobile phones to SMS in their answers (no Internet required).

With DataWinners Android app, offline data collection is possible. Users need connection only when downloading the blank Questionnaires and when submitting filled out Questionnaires.

If you have a very long Questionnaire of more than 250 questions, note that the maximum number of Submissions which can exported at a time is 10,000 Submissions.

Filter your data date for example and export your data per wave.

Once a person is registered as a User, he is automatically registered as a Data Sender. This is why you cannot register this person again as a Data Sender. If you check in the Contacts page, you can see that all of your Users are already there.

From the Contacts page, to link existing Data Senders to a Questionnaire, check the Data Sender’s check box and select “Add to Questionnaire” and you can select the Questionnaire(s) to which you want to link the Data Sender(s).

With DataWinners, you do not need to activate your Questionnaire to start collecting data. Once a Questionnaire is created, it’s automatically active. When you are ready to collect real data, delete your test data on the Submission Log page and you can start with a clean database.

A detailed log is not available but you can check in the sent reminders page if your reminders have been sent.
You can check in the Dashboard page as well how many reminders have been sent. Only delivered reminders are displayed there

When importing a list of Identification Numbers, the first step is to download the Excel template from DataWinners. This template has been generated to match the Identification Number type in question. All columns are mandatory when filling out the Excel file, apart from the Unique ID cell.Leave the Unique ID cell blank if you would like DataWinners to generate an Identification Number ID for you.

If the template contains a question related to GPS coordinates and you do not have this information when filling out the Excel file, you may enter 0.0,0.0 as a placeholder in the corresponding cell (with no spaces between the numbers).

When entering multiple-choice questions in the Excel file, it is necessary to enter the letter of the choice option instead of the value it represents. For example: with “a) Green” and “b) Yellow”, you would enter “a” for green and “b” for yellow.

For SMS collection, we link a local phone number to your account, via a virtual hosting. We can link either a normal SIM or a toll free number depending on the services available in the country.

Please try downloading the file again. The Excel file may be corrupted if the Internet connection is not very good when downloading your data.

Yes. When you export your data to Excel, the latitute and longitude fields are displayed in separate columns. This should facilitate the exportation into Arc GIS

  1. Export your data from Analysis or Submission Log page
  2. Open SPSS Analytics
  3. File> Open> Data > Choose Excel in the file dropdown list

No. You cannot deactivate a Questionnaire. However, you can unlink all the Data Senders from the Questionnaire so they won’t be able to send in data anymore.

To do so, please follow the steps below:

  1. Click on the Contacts button,
  2. Search for the Questionnaire you want to unlink the Data Senders from,
  3. Select all the Data Senders linked to it,
  4. Select “Remove from Questionnaire” in the Actions dropdown list,
  5. Confirm

  3. Select Edit in the Actions drop-down list
  4. Make your changes and click on Save changes

If the unique IDs are already used you have to attribute new IDs to be able to import them. Please note that an ID can be used only one time. If you delete an Identification Number, his ID cannot be reused.

DataWinners clients handle the SMS charging issue in a few different ways:

  1. The Data Senders pay the cost of the local SMS
    • If the Data Senders are employees of the org, sometimes they provide them with a little extra money in their monthly salaries to compensate for the cost of the SMS. This usually amounts to less than $1/month
    • Sometimes our DataWinners clients also send a little bit of phone credit to each Data Sender before the reporting deadline. This happens frequently when the Data Senders are not their direct employees.
  2. Toll free SMS
    • We provide these services depending on the country. Please get in touch with us for more detailed information.
  3. Reimburse Data Senders with Mobile Money / Airtime Credit

The analysis page shows only successful Submissions.

If you cannot find your data in the Analysis page, please go to the Submission Log page. Successful and error Submissions are displayed in this page.

With DataWinners, you can export your data to Excel and from Excel, export it to SAS, SPSS, etc. Another way is to use our APIs.

It is possible to subscribe with a single account for the organization and then create an unlimited number of Questionnaires within that single account for all of your various programs (health, education, etc.). Each User will have their own unique login (email address and password), and will have access to all of the organization’s Questionnaires within the account. Therefore, if you’d like to keep the program data completely separate, your organization may be interested in creating multiple accounts.

No, for now, it is not yet possible to add a logo on the Questionnaires.

To edit your Data Sender’s phone number, follow the steps below:

  1. Click on “Contacts” at the top of the page
  2. In the search field, enter the phone number you want to edit or the name of your Data Sender
  3. Only this specific Data Sender will be listed. Check the checkbox related to this specific Data Sender
  4. Select edit in the Actions dropdown list
  5. Edit the phone number
  6. Click on “Save”

When an Identification Number is deleted, you can no longer use it or its unique ID.

If your account is linked to a toll free number, any data sender will be able to send SMS free of cost.
If you use a Post Paid SIM, your Data Senders will be paying the local SMS cost. This applies to unregistered Data Senders as well.

All the choices are displayed in a single column, separated by a comma (“,”).

As a workaround, you can split the data in different columns using Excel: Select the cells, go to Data –> Text to columns –> Choose “Delimited” in the pop-up window, then choose a delimiter (a semi-colon or a comma) and your data will be parsed into separate columns.

The best way to test the data extraction webservices is to use curl command.

If you have curl installed, please use the following line in your command terminal:

Otherwise you can try putting the URL https://app.datawinners.com/api/get_for_form/002/ in a browser address. You need to provide username and password when prompted.

Your server could invoke the webservice by sending a request directly with the URL and providing the user credentials for digest authentication. Most programming platforms support sending digest-auth requests.

And your server should be able to get the response with data in its content.

The whole process is entirely automatic.

Data extraction within a specific time period:

DataWinners data extraction webservice API supports downloading data within a certain period. To do so, please include the start date and end date in.

No. With DataWinners, you can register an unlimited number of users.

Yes. In DataWinners, you can duplicate your existing Questionnaire and edit questions inside according to the new Questionnaire specific needs.

If you want to reassign the same phone numbers to new Data Senders, please delete the old Data Senders first and import your new list of Data Senders using the same phone numbers.

  1. Click on the All Data Senders button at the top of the page
  2. Select all your Data Senders
  3. Select “Delete” in the Actions dropdown list above the table

When editing the Identification Number Registration Form, the second default question (Identification Number’s last name) should be kept for name and should not be reworded, as the value in this cell is the one displayed in the dropdown list along with the UID.

Yes. This is possible. We work with our clients in each country to link a local number to their account. The client’s job is to obtain a postpaid local SIM that has been enabled for roaming. Once you have the SIM, we virtually host and link it to your account.

If you can obtain what’s called a “reverse billed” or “toll free” number from the local telephone company, we can link that number to your account. Then your Data Senders will not have to pay for SMS submissions.

DataWinners can export up to 4094 at a time.
To avoid problem, you can filter your data — by date for example — and export it in multiple batches.

You can use third-party software or you use your own software if preferred using feed API access.

DataWinners has an integrated feed API that helps the users to perform Extract, Transform and Load (ETL) operations on the data collected. DataWinners has also added an API for sending out SMS via the application. The feed access is secured using a HTTP Basic authentication. The user has to provide the username and password to access any of the Submissions in the account.

DataWinners streams the feed data. There is no maximum limit on the number of feed entries sent out of DataWinners. DataWinners will continue to stream data as long as there is valid data for the given query parameters, and will close the connection once the feed entry for the last Submission has been sent.

Yes. Your User can access specific Questionnaires depending on the roles and permissions you set for him.

Different roles are available in DataWinners:

  • Account Administrator: The creator and manager of the DataWinners account
  • Administrator: Can manage Users (Project Managers) and give/remove access to Questionnaires and polls
  • Project Manager: Can manage the Questionnaires and Polls they created. Can also be granted access to existing Questionnaires and Polls

I would like to create a new Questionnaire but when I’m logged in, I can only see the data submission page from which I can either make a submission or import submissions

You are logged in as a Data Sender, not a User. Please contact your account administrator.

No. They need to set their own password.

When you register your Data Senders in your account, DataWinners sends them an email. They need to click on the activation link within 7 days and create their own password.

You cannot register using the deleted UID because some current data is data linked to them.

In order to register them using the old UID, proceed as follows:

  1. Unlinked the Identification Number Type from your Questionnaires by editing your Questionnaire,
  2. Delete the Identification Number Type from your Identification Numbers page,
  3. Recreate the Identification Number Type and customize the registration form,
  4. Import your ID Numbers using the old UID.

To allow us to link a local number to your account, you just have to get a postpaid SIM, enabled for roaming. Once you get the SIM, we’ll do some testing and link the number to your account.

Yes. To edit a data record, click on the “Submission Log” page for the Questionnaire, select the data record you wish to edit by clicking on the corresponding box in the left-most column, and select “Edit” from the Actions drop down menu. Make all the necessary changes and click “Save changes.”

It is not yet possible to edit User information. As an alternative we suggest you create a new User with the correct email address, and delete the old User.

To do so:

  1. Please click on the Account link next to Profile at the top of the page,
  2. Then click on the blue tab, “Users”
  3. Check the box next to the first name of the user and select “Delete” in the Actions drop down list,
  4. Then click on “Add a user” at the top right hand of the page, fill in all the information and then click on “Register”

Yes, DataWinners allows you to have skip logic. A question can be skipped or displayed depending on a previous answer.

No. Exporting Data Senders list is not yet possible with DataWinners.

The Identification Number for whom you are trying to submit data is not registered in DataWinners yet. Identification Number must be registered before a data related to it can be submitted.

Make sure you are logged in to the Google Play Store with the account connected to your device.

Visit the DataWinners app page on the Google Play Store.

You should land on a page where you can see a text saying that the app is compatible with your smartphone if this is the case.

To delete a data record, click on the “Submission Log” page for the Questionnaire, select the data record you wish to delete by clicking on the corresponding box in the left-most column, then select “Delete” from the Actions drop down menu.

Check in the Contacts page to see if the User is registered as a Contact. If that is the case, you will have to delete the Contact from this list to be able to register him as a User.

To do so, please check the check box near the person’s name and select “Delete” in the Actions dropdown list at the top of the page. When the Contact is successfully deleted, you can register him as a User.

Once a person is registered as a User, he’s automatically registered as a Contact.

You can use “count()” when you want to know and display the number of times a series of questions is repeated.

You can register your Data Senders using dummy email addresses using mailinator.com for example, and activate and set password for your Data Senders instead of them doing it.

If we take the example of a health zone, which has many clinics, instead of having all the clinics from different zones displayed in the Identification Number dropdown list, you can create a Questionnaire per health zone.

This way, only the clinics related to this zone will be displayed in the dropdown list.

Yes. Deleted entries are still present in the Deleted Submissions page. You cannot have them back in your Submissions log but you can re-enter them:

  • Re-make the submission using the Web form. You can even select the Data Sender name.
  • If you have a very big Questionnaire, it would take time to enter manually. In that case, you can export the Deleted submission(s) to Excel and re-import using the “Import Submissions” function.

With your DataWinners subscription, you can create an unlimited number of Questionnaires and collect an unlimited number of data.

A Duplicate is a submission containing the same data as another submission within a predefined period. It can be:

  • Submissions with the exact same answers for each question

To review possible duplicate Submissions, please follow the steps below:

  1. Choose the period using “Submission Date” filter
  2. Choose what case of duplicate Submissions you are looking for – use the drop down “Show Duplicates For”:
    • Submissions with the exact same answers for each question
    • Submissions with the exact same Identification Number

You can store the apk file in My Files and then follow the steps below:

Before installing DataWinners on your tablet, make sure that you have already a Gmail account. Gmail is required to access the PlayStore from which you can download DataWinners.

Our specific target end users are program managers of development projects who are tired of making resource allocation decisions in the absence of data. So we think of DataWinners as sort of like Survey Monkey for development professionals. Our main targets are organisations and individuals working in developing countries.

You can limit the number of answers which can be selected for a multiple choice question by adding the following syntax in the related constraint column:

In the above example the maximum is 3.

After hitting “Register” on the Web form, you should see a green confirmation message displayed on your screen. Then you see the blank form again. You’ll need to close the pop up window to get back to the Data Senders page and see your new Data Sender listed.

You need connection only when downloading the Questionnaires on your Smartphone or Tablet and when uploading your filled Questionnaires. You can choose between a Wifi and a data plan depending on the available services.

Your Data Senders can fill the downloaded Questionnaires even offline. So they don’t need to be constantly connected.

Within your DataWinners account itself, you can have very basic charts.

If you want to generate custom reports, we’ll need to develop a customized application for you. If you’re interested, the costs will depend on your specific needs.

You have to provide email address for each of your Data Senders because DataWinners will use these email addresses to send an activation email to each of them so they can activate their account.

This not yet possible but you can use the below workarounds:

  1. You can merge data from the Questionnaires in Excel using the unique IDs as an identifier. (example: teacher’s unique ID)
  2. If you plan to use Smartphone to collect data, you can create your questionnaires with XLSForm and merge all your Questionnaires in one Questionnaire. You can use teachers ID as an identifier, then have multiple groups for your different questionnaires. The Data Senders can skip the sections they do not have to fill out.

Our model is one subscription per organization per country. However, for each subscription, the Data Admins can give read/write access to as many users as they like. So, the Water/Sanitation team can have their own login/password and so can the Child Protection team. Within one account, you can have an unlimited number of Questionnaires and can share the data with multiple Users. You can set different roles and permissions for each User.

In your DataWinners account, click on the Questionnaire, then on the blue tab « My data ».The Questionnaire code will be displayed in the URL.

You may have a connectivity issue. Your device may not have sufficient memory left because many applications are running at the same time. Check if your connection and your device memory.

As per our Terms and Conditions, subscriptions for organizations are per country. For example: Organization X, that wants to use DataWinners in Madagascar and Mozambique must have two subscriptions.

If you have a Questionnaire with a cascades list containing hundreds or thousands of choices, it slows down the loading process and has impact on your device’s performance. The External Selects function helps these lists load more quickly. It works the same way as cascades sheet but with an enhanced performance.

To use External Selects:

  1. For the first level, use select_one for the prompt type and list your “States” in the choices sheet as usual (Example: State),
  2. For each lower level:
    • In the survey sheet, use select_one_external for the prompt type (Examples: select_one_external counties, select_one_external cities),
    • Enter the reference to the cascade level in the choice_filter column (Examples: state=${state}, state=${state} and county=${county}),
    • In the external_choices sheet, enter your choices as shown below. A column is required for each level (Examples: state, city)

Yes. Collecting picture data is possible using the DataWinners Android application. To do so, create an advanced Questionnaire using XLSForm and use “image” as a question type in the “type” column.

DataWinners has a very good API allowing you to link it to any external application. Data can be even pushed to external databases such as DHIS2. To learn more, please read our API Documentation.

You can have an unlimited number of respondents with DataWinners. The 1,000 outgoing messages count for:

  1. The automatic reply your respondents receive when sending in data,
  2. The automatic reminders you can set for your projects and,
  3. Ad hoc messages you send to field staff.

You can use the concat (concatenate) function to combine values from previous questions in the Questionnaire.

No. Editing your Data Sender location from the Data Senders or Contacts database don’t have any impact on your collected data.

No. The completed questionnaires are stored on the phone until they are manually deleted. So the normal process is:

  1. Questionnaire filled out (even offline)
  2. Questionnaire manually uploaded once network connectivity is achieved
  3. Questionnaire manually deleted from phone by the Data Sender

No. As DataWinners use a flat database, this not yet possible. But below a few workarounds to help you with your data analysis:

  1. You can merge your data in Excel using the unique IDs as an identifier for all your Questionnaires.
  2. If you use Smartphone to collect data, you create one unique Questionnaire combining your different Questionnaires, using XLSform. You can have multiple groups for your different Questionnaires. The Data Senders can skip the sections they do not have to fill out.

We’re hosting your number in our system so roaming is required so we could receive and deliver all your SMS into your DataWinners account. In fact, your Data Senders will send data to a local number but as our server isn’t located in your country, we need the roaming to be able to manage all the SMS traffic.

No other features/services with the network provider needs to be enabled. We just need a postpaid SIM, enabled for roaming.

Yes. You can do so by using the “constraint” logic in XLS Upload.

There are two different confirmations. We put the content of the SMS in the reply when the reply plus the answers provided can fit in one SMS (160 chacacters). If the answers are too long for the SMS, we just say “Thank you. We received your SMS”. It depends on the length of your Questionnaires and the answers provided.

DataWinners Android App allows you to work offline. You can fill out your questionnaires, save them onto your device even offline. When you have a connection, you can send out the data.

You need connection only when downloading the Questionnaires on your device and when sending your filled Questionnaires. Please watch our video to learn more.

With the standard DataWinners feature, repeated sets are always displayed in different sheets when exporting data to Excel. Please contact our Customer Support if you are interested in having all your data merged in one sheet.

  1. Reduce the number of ad-hoc SMS sent from the system and use it only when necessary (Using the Send a message feature). You can also filter your recipients using Contacts & Groups to send your SMS only to a Group instead of all Data Senders.
  2. Check in your Data page if you have many error Submissions. If yes, work with your Data Senders to help them submit data successfully, to avoid multiple error messages.

You can use the following syntax under the constraint column: .>= 18 and .<= 100

Note: The spaces between the periods and the “<” and “>” signs. In this example, the answer must be a number between 18 and 100.

Each time a Data Sender submits data, DataWinners will evaluate the SMS and automatically send back a message. If the SMS contains any errors, DataWinners will return an error message specifying the mistake made. If the SMS contains no errors, then DataWinners will return a success message along with a summary of the submitted answers.

The Data Sender can then review the summary or re-submit in case of any inadvertent errors.

The number of filled questionnaires that can be stored offline is not limited. It depends on the storage capacity of your phone. If you have 1GB for example, that could already store a lot of questionnaires because the size of each filled questionnaire will be in KB.

Our payments must be done in USD. You can wire the payment from your Iocal bank account to our Bank account in US. To proceed, you can just let the bank know how much in USD you want the beneficiary to receive.

XLSForm: How to constrain a date to be an interval between two dates

To apply a constraint between two dates, enter the following syntax in the column constraint :

  • It may be due to a network problem. Please ask them to re-submit.
  • Ask your Data Senders to check their SMS inbox to make sure that it’s not full.
  • Ask your Data Senders to check if they submitted their data to the right number.

You can fill out Questionnaire even offline. You just need to tap on Save Questionnaire and Exit when you’re done. The filled out Questionnaires will be stored in your Smartphone till you send them.

To benefit from the SMS feature, a Pro SMS account is recommended. Monthly Pro SMS subscription is $299/month for an annual plan. It allows you to collect an unlimited number of submissions and includes 1,000 outgoing SMS, related to reply SMS, reminders and bulk SMS.

In your  scenario, 200 recipients sending/receiving 5 messages per day = 1,000 SMS per day X 30 days in a month = 30,000 messages.Assume half of these messages are sent by the recipients (inbound) and half sent by DataWinners (outbound).

Cost would be:

  • $299/month for the subscription
  • 15,000 inbound messages (SMS costs paid by each sender. Assume $0.05/SMS = $750). Also possible to organize a toll-free number so recipients don’t have to pay when sending in their data. Costs vary by country.
  • 15,000 outbound messages (first 1,000 are free, then cost is by bundle of 500 messages for $50. So $1,400)

Total: $299 + $750 + $1,400 = $2,449.

To calculate the number of months between two dates, enter the following syntax in the calculation column:

int((${today} – ${baby_birthdate}) div 30.44)

The result will be displayed in months. If you want to calculate the result in years, use 365.24 instead of 30.44

In the current release of DataWinners, Success and Error messages can be sent in English, French, Malagasy and Portuguese. You can also add new language if needed by customizing the reply messages in the Language pages.

Yes. You can fill out as many Questionnaires as you want in offline mode. The important thing is that you have the Questionnaires already downloaded onto your phone.

Three types of account are available with DataWinners:

  1. Basic account: it’s free for one year and allows you to collect up to 1,000 Submissions, including 50 SMS Submissions.
  1. Pro SMS account: it allows you to collect data using any combination of SMS, Web and Android device (Smartphone, Tablet). The monthly subscription includes 1,000 outgoing SMS. Any SMS overage is billed $50 per 500 SMS.
  1. Pro account: it allows you to collect data using any combination of Web and Android device (Smartphone, Tablet).

A reduction is applied to monthly subscriptions depending on the length of the subscription: 1 month, 6 months or 12 months.

The Data Sender tries to edit a filled Questionnaire with an older version of your Questionnaire.

One possibility is that the Save button was not pressed after the device detected the location. It is necessary to press Save before shifting to the next question or submitting your questionnaire. You should not press on the Record location button again. After the app has detected your location, please swipe on the screen as if you want to shift to the next question, and then the Save button will appear.

Another possibility is you didn’t activate the GPS option in your phone. To do so, please follow the steps below:

  1. Press on Settings,
  2. Then on Location and Security,
  3. Check the box next to Use GPS Satellites.

Please proceed as follows:

  1. Tap on “Edit Saved Questionnaire”
  2. Select the Questionnaire
  3. Identify the image question
  4. Re-attach the image by browsing in your image folder
  5. Submit your Questionnaire

With DW 3.0 and up, users can hide some of the main menu elements (Get Questionnaires, Send Finalized Questionnaires, etc.). You can do so in the Admin settings.

Do the following:

  1. Inside the DW application, press the “Menu” button
  2. Then tap “Admin settings”
  3. Ensure that all the main menu items are checked
  4. Go back to the main menu. The “Send Finalized Questionnaire” menu should be available.

To download a Simple Questionnaire to PDF, follow the steps below:

  1. From the Overview page, click on “Print your Questionnaire” blue link
  2. Then, on your right, click on “Print” and choose “Select as PDF” from the PDF dropdown list.

This can happen for the following reasons:

  • The Smartphone memory is full and the application is taking time to start
  • Connectivity issue or insufficient data plan
  • The server setting of the DataWinners application is incorrect. The URL should be the following: https://app.datawinners.com/xforms
  • The URL must begin with “https” not just “http”
  • A Poll is a one-question survey whereas a Questionnaire can contain one or more questions.
  • A Poll doesn’t require a Questionnaire code and Poll recipients can submit their answer directly. No specific answer format is required.
  • For a Poll, no training for the Data Sender is needed as the instructions are directly in the SMS or broadcasted and any answer is allowed.
  • Poll answers can be submitted using SMS only.

To delete the error messages logged in the Smartphone application, follow the steps below:

  1. Open Settings
  2. Select DataWinners
  3. Tap on “Clear Data”
  4. Tap on “Clear Cache”

A DataWinners Poll is ideal when you need to collect a little bit of information from a big group of people; when you want their short answers to a straightforward question: “Did you get the textbook shipment?  Please respond YES or NO.” You can also broadcast your open-ended question through other channels (for example: radio) and collect SMS responses: “Please send us information about any illegal poaching in your area.”

This may be due to a memory problem or synchronization error with your Google account.

Try the following:

  1. Go to Settings > Applications > All
  2. Select the “Google Play Store”, clear the cache and data.
  3. Restart your Phone.
  4. Make sure there is sufficient space on the phone’s memory and on your SD card.

If the above solution doesn’t work, try the following:

  1. Go to “Settings” > “Accounts” > “Google” and delete the current account.
  2. Turn off your phone.
  3. Restart your phone in Recovery mode (Press the Home + Volume Up + Power).
  4. A menu will appear, you can navigate using the volume keys.
  5. Select “Wipe Cache Partition”
  6. “Clear Cache”.

  1. Send the Poll by SMS to a specific group of recipients. Only the recipients of the SMS can respond.
  2. Broadcast the Poll through other channels outside of DataWinners (Radio, TV shows, Billboards, etc.). Anyone can send an SMS response.

No. As we want this to be as easy as possible for the people sending in data there is no specific answer type. Everything is a valid answer which means all Submissions are considered as successful submissions and displayed in the Poll Data Analysis page.

Check if you filled out and submit the latest version of your Questionnaire. If you edited your Questionnaire, you’ll need to download the latest version onto your Smartphone.

No. You may only have one active Poll at a time. To create a new Poll you must first deactivate your current Poll.

To extend the duration of your Poll, follow the steps below:

  1. Click on the ‘Poll’ tab
  2. Click on ‘Poll is active from to edit the period

This is a connection issue. Please check if your device is connected and try again.

No. You’ll need to deactivate the active Poll first before creating a new Poll. A Poll is immediately activated when you create it, so you cannot set a future date for your Poll start date.

Uninstall the DataWinners application from the Android device and then reinstall it.

If you broadcast your Poll through other channels (example: radio), then anyone can submit answers. While this Poll is active, DataWinners will first examine the Questionnaire Code at the beginning of the SMS. If DataWinners does not recognize the code, it will consider the Submission a response to the open-ended Poll. As such, during the active period, if your Data Sender submits an incorrect code in response to another Questionnaire, DataWinners may incorrectly place this submission in the Poll database. To minimize this risk, select the minimum number of active days you require for your Poll.

You get this error because no Identification Number has been registered yet.

The person who sends the SMS receives “Error, Questionnaire code is incorrect”. The Submission is logged under the “Failed Submissions” page.

If you get this message on your Smartphone when you want to fill out your Questionnaire, this means that you have encountered errors previously and these errors appear again when you want to fill out Questionnaires. To avoid these displayed errors, you should clean up the data registered on your Smartphone. To do so, please follow the steps below:

Step 1: Click on the “Menu” button on your Smartphone through the main screen
Step 2: Click on “My files” icon

Step 4: We have 3 files “forms”, “instances” and “metadata” and choose “forms” first

Step 8: Then choose “DataWinners”
Step 9: Finally, click on “clear data”

Once your Questionnaire is created on DataWinners, you have three options to share it with your Data Senders:

  1. SMS: print the form and share it during the Data Senders training or print as pdf and send via email,
  2. Web: register your Data Senders’ email address in the Data Senders database. They’ll receive an activation email allowing them to access the Questionnaire(s) you granted them access to,
  3. Smartphone/Tablet: register your Data Senders’ email address in the Data Senders database. They’ll receive an activation email allowing them to access the Questionnaire(s) you gave them access to. Then they just need to download the form onto their mobile device.

Filled-out Questionnaires are not submitted automatically, They are stored in your device until you send them.

In order to submit your Filled-out Questionnaires:

  1. Tap on “Send Finalized Questionnaires”
  2. Select the Questionnaires you want to submit

No, it is not yet possible to send a link to people to invite them to answer the Questionnaire via Web, they need to be logged in to do so.

Two options:

  1. If you want your respondents to be identified, you can prepare a list of emails of the target people or even create email addresses, register these emails in your account as data senders and activate the accounts. Then you can send out the invitation to your target people along with their login information so they could submit data using the Web form.
  2. If it doesn’t matter that all respondents fill out the form using the same identifier, you can register only one email as a data sender and provide the login information in your invitation email.

This feature is not yet available in DataWinners. Account users can control submissions by deleting any surplus submissions on the Submission log.

You can also export your data to Excel and then use Excel’s filter to find duplicates and extract your data without any duplicate. To do so, you can do as follow:

  1. From the Data menu, choose Filter and then select Advanced Filter to open the Advanced Filter dialog box.
  2. Select Filter the list, in-place
  3. For list range, select the column containing your data that may contains duplicates.
  4. Check Unique Records Only and click OK.

It depends on the channel that you chose:

  • SMS: you will have to print the SMS preview and provide it to your Data Senders or print it to PDF and send by email. They’ll submit data by sending an SMS to a number linked to your DataWinners account.
  • Smartphone: download the questionnaire onto the Smartphone. Once the questionnaire is downloaded, your Data Senders can fill them out even offline and upload them only when they have connection. Please watch our video on YouTube to learn more about how to use our Smartphone application
  • Web: the questionnaire is available and updated automatically.

To be able to enter a negative number, you should enter a negative number (example -10) as a minimum in your answer type.

If the submission is not successful, your Data Sender will receive an error message describing the specific problem. Here is a list of common errors encountered.

With DataWinners, you can create an unlimited number of Questionnaires quickly and easily. Every Questionnaire has a unique code. Data Senders start their SMS message with this code in order for DataWinners to identify which Questionnaire the Data Sender is answering. This code can be a combination of numbers and letters.

Yes. You can build your questionnaire in any language. Questions may be entered in any language or script (for example, Thai or Khmer). It is up to you to determine what language best apply to your Questionnaire and Data Senders.

“Autocomplete” is a widget used in XLSforms. It helps you find the Identification Number or the choice you need without a lot of scrolling.

When the Data Sender starts typing the code or the name of a choice represented by an Identification Number or select_one question type, the options that contain those contiguous letters or digits will be predicted and displayed. If you have a Questionnaire with a cascades list containing hundreds or thousands of choices, it slows down the loading process and has impact on your device’s performance. The External Selects function helps these lists load more quickly. It works the same way as cascades sheet but with an enhanced performance.

To use External Selects:

  1. For the first level, use select_one for the prompt type and list your “States” in the choices sheet as usual (Example: State),
  2. For each lower level:
    • In the survey sheet, use select_one_external for the prompt type (Examples: select_one_external counties, select_one_external cities),
    • Enter the reference to the cascade level in the choice_filter column (Examples: state=${state}, state=${state} and county=${county}),
    • In the external_choices sheet, enter your choices as shown below. A column is required for each level (Examples: state, city)

  • A Poll is a one-question survey whereas a Questionnaire can contain one or more questions.
  • A Poll doesn’t require a Questionnaire code and Poll recipients can submit their answer directly. No specific answer format is required.
  • For a Poll, no training for the Data Sender is needed as the instructions are directly in the SMS or broadcasted and any answer is allowed.
  • Poll answers can be submitted using SMS only.

A DataWinners Poll is ideal when you need to collect a little bit of information from a big group of people; when you want their short answers to a straightforward question: “Did you get the textbook shipment?  Please respond YES or NO.” You can also broadcast your open-ended question through other channels (for example: radio) and collect SMS responses: “Please send us information about any illegal poaching in your area.”

Identification Numbers

An Identification Number is what your questionnaire is about; a specific person, place, thing or event on which Data Senders report.

In many cases, the Data Sender interacts with an Identification Number, then sends in an individual report about the interaction:

  • A doctor examines a baby. In this case, the Identification Number is the baby.
  • A supervisor measures the quality of care at a clinic. The Identification Number is the clinic
  • An engineer measures the flow rate of a water pump. The Identification Number is the water pump.
  • A sales person sells products to a retailer: The Identification Number is the retailer.

An Identification Number Type is a general label. For example, you create the Identification Number Type “Clinic.” You could then register the following individual Identification Numbers:

  • North Clinic
  • South Clinic
  • East Clinic
  • West Clinic

The first step is to create an Identification Number registration form for your Identification Numbers. Come up with a list of simple background questions you’d like to collect for each of your Identification Number types as part of the Identification Number profile. DataWinners provides a first draft of the Identification Number questionnaire. You can edit this to include any questions that would be useful for your Questionnaire.Once your Identification Number Registration Form is ready, you have three options to register your Identification Number profiles:

  1. One-by-one using the web form
  2. In bulk using “Import a list”
  3. In the field using SMS

You can link an Identification Number to a Questionnaire by choosing “Identification Number” as an answer type and then adding a new Identification Number Type or selecting an existing one.

Yes. It’s possible to register Identification Numbers using Smartphone.Fill out the Identification Number Type registration form using the DataWinners Android app exactly the same process as when you fill out a Questionnaire to submit data. Please follow the steps below:

  1. Download the blank Questionnaire onto your Smartphone by taping on the “Get Blank Questionnaire” menu
  2. Tap on “Fill Blank Questionnaire”. All Identification Numbers Type available will be listed as Questionnaires
  3. Fill out the selected Questionnaire by entering all the basic information about your Identification Number
  4. Once the Questionnaire is filled-out and saved, you can send it as a finalized Questionnaire.

Registering an Identification Number using SMS works exactly the same way as making an SMS Submission. But instead of submitting for a main Questionnaire, you use the Identification Number registration form. You can share this form with your Data Senders beforehand so they could register new Identification Numbers from the field, using SMS.

To find the SMS registration form, please follow the steps below:

  1.     Click on the blue tab “My (your ID number)”
  2.    Click on “(ID number) registration form”

Start with the Questionnaire code, then a space, then the answer to question 1, etc. Upon receipt of the Submission, DataWinners sends an automatic reply to your Data Sender with the ID asssigned to the ID number, allowing him to submit data related to this ID number.

No. If you want to make changes or add columns, please edit the Identification Number registration form instead of the Excel template, as this will generate an error. Once you’ve made all the changes, please download the template one more time.

During Questionnaire creation, select “Identification Number” from the answer type dropdown list. Then select an existing Identification Number type or add a new one.

No. Identification Number’s ID is not editable.

If you want to change it, please delete the Identification Number and register once again using the new ID.

Yes. You can delete an Identification Number type. Please follow the steps below:

  1. Click on the “Identification Numbers” button at the top of the page,
  2. Select the Identification Number type,
  3. Select “Delete” in the “Actions” dropdown list,

Please note that you cannot delete an Identification Number type if one Questionnaire is still linked to it. If this is the case, please remove the Identification Number type from Questionnaire or delete the Questionnaire first.

  1. When logged in, please click on the All Identification Numbers link in the upper hand side.
  2. From the All Identification Numbers page, click on the Identification Number type. All the Identification Numbers in this type will be displayed.
  3. If you want to delete only a few ones, you can select them by selecting the check box next to the Identification Number’s name and then select delete from the Actions dropdown list. If you want to delete them all, please check the check box in the first column (in the grey area). All the Identification Numbers will be selected. And then select “delete” from the Actions dropdown list.
  4. A confirmation message saying Identification Number(s) successfully deleted will be displayed.

When importing a list of Identification Numbers, the first step is to download the Excel template from DataWinners. This template has been generated to match the Identification Number type in question. All columns are mandatory when filling out the Excel file, apart from the Unique ID cell.Leave the Unique ID cell blank if you would like DataWinners to generate an Identification Number ID for you.

If the template contains a question related to GPS coordinates and you do not have this information when filling out the Excel file, you may enter 0.0,0.0 as a placeholder in the corresponding cell (with no spaces between the numbers).

When entering multiple-choice questions in the Excel file, it is necessary to enter the letter of the choice option instead of the value it represents. For example: with “a) Green” and “b) Yellow”, you would enter “a” for green and “b” for yellow.

If the unique IDs are already used you have to attribute new IDs to be able to import them. Please note that an ID can be used only one time. If you delete an Identification Number, his ID cannot be reused.

When an Identification Number is deleted, you can no longer use it or its unique ID.

  4. Import your ID Numbers using the old UID.

The Identification Number for whom you are trying to submit data is not registered in DataWinners yet. Identification Number must be registered before a data related to it can be submitted.

If we take the example of a health zone, which has many clinics, instead of having all the clinics from different zones displayed in the Identification Number dropdown list, you can create a Questionnaire per health zone.

This way, only the clinics related to this zone will be displayed in the dropdown list.

Analyze Data
